Reporting to the Group HR Director, we are seeking a highly organised and proactive Office Administrator to join our business. You will be supporting teams across different sites with different administration needs. The ideal candidate will be responsible for handling confidential information, scheduling meetings, communications, and coordinating various business activities while maintaining a high level of professionalism and efficiency. You will have the ability to prioritise your workload, have excellent attention to detail and be able to work with discretion. This role encompasses the following responsibilities: Administrative Support: Provide comprehensive administrative support to a variety of functions across the business. Prepare and edit documents for internal and external meetings. Supporting internal employee focussed initiatives such as wellbeing and social events Maintain an efficient filing system for both electronic and paper-based records. Managing multiple diaries Process expenses using the SAP Concur system Travel Management: Manage complex travel arrangements, including flight bookings, accommodations, ground transportation, and itineraries. Communication Management: Act as the liaison between the management team, employees, and external stakeholders. Handle incoming and outgoing communications, including phone calls, emails, and other correspondence. Prepare and send memos, emails, or internal communications as needed. Office Management and Coordination: Maintain an organised and efficient office environment, ensuring all supplies, equipment, and office functions are running smoothly. Coordinate with other team members, departments, and external partners as needed. Arrange catering for internal and external meetings as appropriate. Relationship Management: Build and maintain professional relationships with key stakeholders, board members, and other senior leaders. Serve as a liaison between the executive and internal/external stakeholders to ensure smooth communication and collaboration. Health, Safety, and Compliance: Ensure the office environment adheres to health and safety guidelines, helping to maintain a safe and compliant workplace. Proven experience as an office administrator, office manager, or in a similar role, preferably in a manufacturing or industrial environment. Strong organisational skills with the ability to prioritise and manage multiple tasks simultaneously. Experience of managing multiple diaries. Excellent written and verbal communication skills. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Ability to work well under pressure and in a fast-paced environment. Strong problem-solving and decision-making skills.
