Job summary
An exciting opportunity has arisen for an enthusiastic and highly motivated administrator to join the GWH Children's Outreach Nursing Service and Paediatric Diabetes Team and have a key role in helping us to achieve a high standard of service delivery. We are looking for an experienced administrator to provide essential admin, office and data management support.
The successful candidate will be a team player, show initiative and be able to prioritise in relation to effectively supporting the smooth operation of services, in accordance with service standards and guidelines.
Main duties of the job
To provide administrative support and office management to the Children's Outreach Nursing Service and the multidisciplinary Paediatric Diabetes Team, being a point of contact for families and professionals.
To be responsible for the day-to-day data and service management for the Paediatric Diabetes Team.
Job responsibilities
* Provide a first point of service contact for the Children's Outreach Nursing Service, communicating with members of the team, parents and carers, and the wider multidisciplinary/multiagency teams.
* Day-to-day office management including management of post and shared email inboxes, answering telephone enquiries, responding to voicemails, taking and relaying messages in a sensitive, polite and helpful manner, and using own judgement to establish priorities and actions.
* Provision of administrative support to the Children's Outreach Nursing Service as required, to include filing, scanning, notes management and support with team databases, and letter/document amendment and production.
* Prepare and organise papers/correspondence and reports for named meetings, and attend/write minutes for team and service meetings.
* Develop and manage systems for managing information and paperwork within the office.
* Assist team members with workload organisation through supporting meeting/patient contact organisation, electronic diary management and the day-to-day recording of staff whereabouts on the electronic roster system, including annual leave, sickness, training and home working, so to ensure accuracy of time and location. Play an active role in ensuring the team adhere to local lone worker procedures.
* Develop an understanding of Best Practice Tariff diabetes service requirements and national audit standards in order to support the paediatric diabetes MDT in the achievement of these.
Person Specification
Qualifications
* NVQ Level 2 in Business and Administration or equivalent knowledge and skills
* A good standard of general education including English and Maths, and ability to demonstrate both excellent written and verbal communication skills.
Experience
* Demonstrable experience working in an administrative role within a busy office/customer care environment.
* Advanced level of IT literacy with experience of using a range of IT applications including database and spreadsheet management.
* Proven ability to work independently and as part of a team.
* Previous hospital administration and experience within the NHS or similar Health Care setting.
Knowledge
* Advanced keyboard skills including typing, speed and accuracy for writing documents and inputting data onto databases and spreadsheets.
* Ability to take and transcribe notes of meetings in a timely manner.
* Knowledge of relevant medical terminology.
* Excellent organisational skills and the ability to prioritise a demanding unpredictable workload.
