Temporary Assistant Asset Officer/Admin

Pay Rate: Up to £14.44 per hour PAYE depending on experience
Hours per week: 37 Monday – Friday, normal working
Role Length: This opening assignment is for 4-5 months

To maintain and assist with the development of comprehensive contract and asset information and records in order to ensure the Asset Management team effectively deliver planned maintenance services to the Councils housing stock and other assets.
To support the smooth day to day running of the service by having an understanding of different property based data management and work ordering systems, general business support tasks and performance targets.
Key Responsibilities:
1. Maintain and update records of works programmes issued to maintenance contractors on IT systems, stock condition databases and contract management software.
2. Maintain and monitor records of “no access” to properties and “waivers” submitted by contractors including updating contract management software, stock condition database and Orchard housing management system.
3. Review and verify work proposed programmes of work to take account of Right to Buy applications, redevelopment, demolition and void properties.
4. Record and monitor details of completed works on Orchard housing management system, Stock condition database and contract management software, ensure guarantees and warranties are properly recorded and flagged.
5. Use contract management software to instruct works and changes to works to contractors in consultation with the Service Manager.
6. Ensure contractors’ property files for completed works are submitted on time and contain all information required and are electronically filed in the correct place.
7. Maintain and monitor records of tests and inspections completed by contractors and monitor the correction of defects.
8. Arrange and document contractual meetings with contractors, sub-contractors and other stakeholders. Deal with telephone queries.
9. Maintain the Supply Chain data and records of standard materials across the Councils assets.
10. Liaise with the leasehold management team regarding publishing programmes of works for leaseholders.
11. Monitor tenant alteration forms, liaising with surveyors to provide information in a timely manner. Contacting and advising tenants on the status of application and outcomes.
Qualifications:
1. Good standard of English and Numeracy (at GCSE A-C or equivalent).
Skills & Experience:
1. Minimum of 12 months recent experience in a similar role, or context and ideally within a public sector organisation.
2. Some experience in working in building maintenance environment.
3. Practical experience of working to, and meeting, deadlines whilst under pressure.
4. Experience of data collection, input, analysis and interpretation.
5. Experience of working in a local authority / public sector environment.
6. Experience of working within a team environment.
7. Minute taking skills and record keeping.
8. Ability to understand basic technical terminology used in building maintenance / construction.
9. Strong IT skills including Microsoft packages or equivalent (e.g. G Suite).
