Job Overview
* Effective management of the Materials Management Assistants & Stock Audit Team to deliver the most cost effective supply service.
* Support the Service Manager with the implementation of new processes when required.
* Undertake regular data analysis to ensure all PAR and templates are up to date, and all stock count data is recorded.
* Monitoring of all relevant KPI data, and reporting results back to the Service Manager.
* Timely and effective inventory management to support clinical and non-clinical services ensuring best value, robust supply channels and stock management.
* Continuously review existing supply channels to establish the most cost effective and efficient route of supply.
Main duties of the job
Knowledge
* A minimum of 3/5 years’ experience working within a purchasing/contracting and or inventory management environment.
* Computer literate, including the use of electronic supply management, inventory management and information systems and Microsoft desktop packages, word and excel.
* Understanding of the rules governing public sector procurement.
* Educated to GCSE ‘O’ level/ONC standard and if not already achieved be prepared to study for the Chartered Institute of Purchasing and Supply professional qualification.
Training
* The post holder will be able to demonstrate continuous professional development.
Experience
* The post holder should have significant experience of managing a Materials Management function within an acute hospital setting, handling multiple service users and budgets.
* The post holder will have some experience of working within supply chain logistics, and good practice guidelines for the industry.
* The post holder will have experience of managing budgets.
* The post holder will be able to demonstrate successful leadership in the management of people and or service change.
* The post holder will have experience of managing and working with a diverse range of staff groups, with different levels of experience.

Detailed Job Description And Main Responsibilities
* Undertake process mapping and work flow analysis as directed by the Service Manager.
* Provide support and training for EROS, eDC, SAP and Genesis, all of which are used in the provision of products and services.
* Line manage the Materials Management assistants and team leaders.
* Liaise with FM central admin to monitor and accurately record staff working hours, sickness, and annual leave.
* Carry out all required training.
* Carry out staff appraisals as required.
* Work closely with NHS Supply Chain and other suppliers.
* Review the way in which stock is currently managed considering supply channels, stock levels (PAR) and consignment provisioning to deliver cost efficiencies with a primary focus on the value chain.
* Ensure management and staffing coverage throughout applicable working hours.
* Oversee and implement product substitutions ensuring all effected templates are updated, and team members notified.
* Extract and analyse stock information identifying stock management improvements and reporting on areas of risk or concern.
* Ensure that deliveries of goods are accurate, on time and stored in a safe and professional manner and resolve the day to day inventory management queries as appropriate.
* Ensure Materials Management Assistants are actively rotating stock and keeping storage areas clean and tidy.
* Ensure all Materials Management Assistants are issued with a scanning schedule, which is then kept up to date.
* Ensure all scanning activity is in accordance with the scanning schedule.
* Assume responsibilities of either the Service Manager and/or the other Supply Chain analyst in times of absence.
* Action F.O.I requests relating to consumables usage data as appropriate.
* Participate and provide analytical support to NBT staff as required.
* Carry out detailed data analysis work to support further improvement of services offered.
* Development and implementation of auditing tools to further monitor and improve team performance.
* Provide support to the Materials Management Stock Audit Team i.e. scheduling of stock counts.
* Participate in the introduction of improved working procedures and training activity to establish and maintain quality standards to agreed levels.
* Produce, analyse and present various reports to the Service Manager and Clients as required.
* To ensure that all processed requisitions are in accordance with the scanning schedule.
* To ensure that all returns to supplier are actioned as a priority to ensure minimum financial impacts are made as a result of a return.
* Support and help develop the Materials Management team members.
* Attend NBT Non-Pay meetings with an aim to assist them with savings targets.
* Comply with all statutory regulations, procedures and Standing Financial Instructions as directed.
