Working as part of a team, the successful candidate will play a crucial role in the delivery of a high quality secretarial and administrative service to speciality consultants and the wider clinical team. The post holder will be cancelling and rescheduling clinic appointments, preparing and sending out appointment letters, so will need to be highly organised and have the ability to prioritise tasks. The appointed person will be responsible for answering calls from patient representatives and clinical colleagues so an excellent telephone manner is an essential requirement for this role. The post holder will be able to demonstrate having excellent organisational skills as well as being a hard working team player who works well under pressure and has an approachable manner.
The role/duties of the post are outlined below:
1. Manage clinic schedules and patient attendance for your specialty, working closely with consultants and other stakeholders.
2. Print appointment confirmation letters and send to patients.
3. Ensure referral to treatment (RTT) patient data quality is accurate at all times.
4. Organise and attend meetings, take minutes and type up notes.
5. Diary Management for clinical teams.
6. Deal appropriately with enquiries, by telephone and in person, from staff and the general public, seeking advice or referring elsewhere if necessary.
7. Dealing with incoming mail, referrals, results and reports.
8. Manage demand and capacity within the standard operating practice and escalate any capacity issues to the directorate management team.
9. Accurately transcribe clinical letters using audio dictation software, producing high quality work within defined deadlines.
10. Type non-clinical letters as required.
11. Process PICU discharge summaries.
12. Be able to competently use NUH information technology systems and participate in training programmes to develop and update personal skills to meet the needs of the department.
13. Maintain a tidy, safe working environment, reporting any hazards or faults timely and appropriately.
14. Present a professional, polite and courteous attitude at all times and be appropriately dressed when on duty.
15. Undertake HR related tasks, appraisals and recruitment (if necessary).
16. Undertake any other duties, which may reasonably be required.
