Manheim is a core part of the Cox Automotive Group. With 15 Auction Centres across the UK, we facilitate the selling of a range of vehicles on behalf of manufacturers, fleet & leasing and dealers to a wide-ranging buyer base both physically and online.
The Operations department is a core part of the Auction business, overseeing various activities including yard vehicle movements, entry control and vehicle inspections, VCP imagery, and health & safety.
Team members are responsible for ensuring all processes within their department run efficiently and support the smooth running of the day-to-day function, ensuring sales are delivered successfully and operational customer service excellence is always met.
Scope of Role:
Working as part of a team, you will be responsible for supporting the smooth and efficient running of the Operations function, ensuring sales are delivered effectively.
You will be required to work in line with standard operating practices and HSE requirements, whilst maintaining customer service and operational excellence through best practice.
Objectives for Role:
1. Responsible for ensuring the administration, coordination, and movements of vehicles meet customer and internal SLA requirements at all times.
2. Ensure the smooth day-to-day operations of the department, dealing with any problems or incidents in a timely manner and within the required procedure guidelines, escalating issues where necessary.
3. Plan in advance with the Operations Manager to support vehicle arrivals in terms of facility availability, productivity of labour and equipment, and where appropriate support the inspections team with the ongoing process and movement of inspected vehicles, to ensure the efficient and effective flow of vehicles around the site.
4. Ensure accurate communication is maintained with the Vendor Support team to minimise any time delays in getting a vehicle allocated to sale.
5. Ensure the smooth, safe, and uninterrupted flow of sale vehicles through the auction, considering pre-sale, sale, and post-sale logistics of the site.
6. Assist the Operations Manager with any other tasks deemed necessary to ensure a smooth and efficient operation and an excellent client experience.
7. Ensure that the yard is presentable, meeting HSE requirements and giving a good impression to our customers.
8. Ensure general client enquiries are answered accurately, in line with Cox Automotive’s customer service excellence standards, escalating issues, concerns, or queries as appropriate.
9. Ensure Cox Automotive vehicle security processes are adhered to at all times, ensuring all vehicles are locked after use and keys are returned to the key room.
10. Maintain safe operating within the function at all times by observing and adhering to HSE requirements, safe driving practices, and site rules.
11. Proactively support the Operations Manager to ensure all mandatory HSE requirements are fulfilled and all team members are trained and developed to maximise performance.
12. Support the Operations Manager to investigate any disputes within the Operations function and provide timely feedback.
