Description Job Purpose: As a Financial Planning Assistant, you will support financial planners by managing various administrative and organisational tasks, ensuring efficient service delivery and fostering strong client relationships. This non-regulated role focuses on maintaining client records, addressing client queries, and coordinating with the Operations department. Key Areas of Responsibility: Utilise Intelligent Office (IO) to record and monitor client information, ensuring tasks are updated and tracked. Prepare pre-meeting packs for new clients. Draft client engagement letters in collaboration with Financial Planners. Assist Financial Planners in conducting and completing Annual Reviews. Submit and process new business applications. Handle phone calls from clients and third-party providers as needed. Provide assistance to clients as required. Manage platform work, including new business submissions, cash management, and fund switches. Record client remuneration expectations in IO and generate invoices when appropriate. Use various provider websites to obtain product information and valuations. Liaise with life offices and other departments within the firm as necessary. Submit Letters of Authority to Life Offices and gather relevant information. Complete Anti-Money Laundering (AML) checks by recording client ID and processing ID3 Global AML checks. Handle daily post, ensuring it is scanned and saved to client records appropriately. Generate client valuations using IO and Figaro. Keep Financial Planners informed about the status of cases in the pipeline or being processed. Coordinate with the Paraplanning/Review team to ensure timely production of client reports and reviews. Manage Trusts and Death Claims. Promote awareness of Anti-Money Laundering Rules and ensure departmental compliance. Qualifications & Experience: Educated to GCSE level or equivalent, including Maths and English. Experience in customer service and general office duties. Relevant experience in Financial Planning Support or as a Trainee Financial Planning Assistant. Knowledge & Skills: Strong customer service skills. Excellent written and verbal communication skills. High attention to detail. Well-organised and efficient.
