Purpose of the Role The post holder will be part of a team based at either Derby, Ashgate or Oldbury. The post holder will provide a call handling/reception service and associated administrative service. Key Areas of Responsibility & Accountability Administration Proactively provide general administration services and undertake clerical duties in a professional, timely manner, as and when requested. Maintain manual/computerised records as required to a high standard. Booking of meetings in a timely manner and associated tasks. Accurate typing and compilation of letters, as and when required. Efficient collation and recording of accurate audit of data, when requested. Compilation of general statistical/compliance data, in a timely accurate manner, when requested by the SMT. Accurately maintain and record sickness, annual leave and training records. Reception Answering reception calls using agreed protocols and standards in an efficient and courteous manner. Organise and maintain tidiness of the Advice Centre. General duties Adhering to all procedures, protocols and other relevant memoranda as appropriate. Providing assistance/training to new members of staff to ensure the maintenance of a high quality service, as and when required. Attending training and meetings as and when required to do so by Management. Maintaining strict confidentiality in relation to all issues concerned within the service and adhering to the requirements of the Data Protection Act 1984. Providing cover for sickness, bank holidays, annual leave, etc. Maintaining equipment - checking systems and printers as necessary and reporting any faults to senior member of staff. Adhering to Health and Safety Policy. Communicate outstanding issues to your manager or shift replacement before going off duty. Notifying Line Manager/s or Duty Supervisor of any circumstances which may affect the provision of a high quality service. Keeping our patients, the public and ourselves safe and well is part of every role in DHU. To maintain high levels of safety all staff are encouraged to openly report incidents and any risk identified in Datix. Assisting the NHS 111 Operational leads with number checks. Assisting the NHS 111 Operational leads with manual passing and faxing cases. Assisting the CQI Team maintain accurate and up to date desk top packs. Purchase orders and some invoice management from the SMT. Maintaining notice boards in line with the training administrator. General photocopying, printing and laminating. Ensure that where required stocks of stationery etc. are replenished. Supporting management with data input into spreadsheets. Supporting management with timesheet processing. Support and co-ordination of site events. Communications and Working Relationships Staff within DHU Healthcare CIC and related organisations Clinical and managerial staff within participating Primary Care Trusts Clinical and other appropriate staff in local primary and secondary care services Staff within local authority Social Services Ambulance services Person Specification The job holder will have the relevant qualifications, experience and skills to excel in this job role, as further explained in the table below.
