The role
Executive Support:
* Provide comprehensive administrative support managing complex calendars, arranging appointments and prioritising accordingly, coordinating and diarising travel arrangements.
* Work closely to assist with inbox(s) where required, draft correspondence, prioritising and responding where appropriate.
* Prepare and assist with reviewing and proof-reading internal and external communications, agendas, minutes, memos, letters, briefing notes, presentations, and other documents.
* Ensure Senior Directors have relevant documentation/packs for meetings.
* Handle sensitive information with discretion and always maintain confidentiality.
Operational Support & Stakeholder Management:
* Issues raised via Customer Services / Estates to be bought forward to Senior Directors and create draft response compiling internal stakeholder feedback for consideration.
* Support stakeholders across Berkeley Homes Oxford & Chiltern (BHOC), Berkeley Group, International teams and local authorities to organise and ensure smooth management of internal and external meetings.
* Coordinate with internal departments (such as finance, operations, HR, marketing, BHOC sites / staff) to ensure smooth communication and workflow.
* Help prioritise scheduling, to ensure Senior Directors build strong relationships with key stakeholders internally and externally – PDPs, Monthly Catch Ups, Agent Catch Ups, Breakfast/Lunch/Dinner meets.
Event Organisation / BHOC Foundation Champion Lead:
* Support EA to MD with event organisation - Christmas party, summer party, staff & business updates, corporate events, hospitality, charity events – work closely with internal and external stakeholders to effectively manage smooth organisation of events.
* Support EA to MD with Foundation – BHOC work closely with the Berkeley Group Foundation to support all initiatives, charitable work, fundraising, and reporting.
General Admin:
* Create and maintain appropriate online filing system(s) for document retention.
* Create land and sales packs.
* Prepare for Committee meetings where necessary.
* Identify areas for improvement and introduce new processes.
* Monthly Expenses for Senior Directors.
* Travel arrangements and International Travel where relevant.
* Raising PO’s as necessary.
* Provide refreshments for BHOC Board meetings / client meetings.
* Cover for MD/PD EA – work closely with the Executive Assistant to MD/PD to ensure smooth running and efficiency of Executive Team.
* Support with personal tasks, when necessary, as agreed.
Experience required
* Proven experience supporting senior stakeholders essential.
* High proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
* Excellent problem-solving abilities and attention to detail.
* Exceptional communication skills, both written and verbal.
* Strong interpersonal skills and the ability to work with people at all levels of the organisation.
* Ability to work independently and anticipate needs with minimal supervision – you thrive in a fast-paced environment, are independent and are always a step ahead.
* Exceptional organisational and time management skills with the ability to multitask and juggle shifting priorities and manage tasks to successful completion by prioritising effectively.
* Adapt to change and take on new tasks as the role requires – guidance will be given.
* Super driven, proactive and open to working additional hours if necessary.
* Ability to treat confidential information with appropriate discretion and have a high level of integrity.
* Takes pride in and enjoys being a part of an administration team.

*Due to the nature of this role, you are required onsite 5 days a week.

The standard default full-time working hours in the office are 8am-5pm with core working hours 9am-4pm.
