We are looking for a dynamic, methodical, and collaborative Office Manager to join our team in London. Reporting to the Head of EAs and Office Managers, you will be responsible for providing essential support to the business by ensuring that all employees are equipped to perform at their best. This includes ensuring full compliance with local health and safety regulations and maintaining the smooth operation of office management with minimal disruption to the local team.
This is a temporary position to cover maternity leave, with a fixed-term contract, starting in March and with an approximate duration of 9 months, with the possibility to be extended to 12 months.
Key Responsibilities:
Office Management:
* Oversee daily office operations, ensuring a well-maintained and functional workplace.
* Manage office supplies, equipment, and facilities to support a productive working environment.
* Vendor Relationship Management:
* Liaise with external vendors and service providers to maintain high-quality service levels.
* Negotiate contracts and manage vendor agreements.
Marketing and Events Support:
* Collaborate with the Marketing and Events team to coordinate and execute onsite events.
* Provide logistical and operational support to ensure successful event delivery.
Health & Safety Compliance:
* Ensure compliance with local health and safety regulations.
* Implement best practices for office safety and emergency procedures.
Onboarding Support:
* Assist with onboarding new joiners to ensure a positive and seamless experience.
* Provide guidance on office procedures and resources.
Requirements:
* Proven experience in maternity cover contracts, with the ability to quickly adapt to new environments
* Strong autonomy, accountability, and ownership in managing tasks and responsibilities
* Solid understanding of health and safety regulations and office management best practices
* Proficiency in Microsoft Office
* Proactive problem-solver, capable of identifying and resolving issues before they arise
* Collaborative and transparent approach to fostering a positive team environment
* Logical, methodical, and organised in managing tasks
* Positive, can-do attitude with openness to feedback and continuous improvement
* Ability to integrate quickly into a cross-functional team and effectively grasp internal systems during handover
* Experience contributing to team success through knowledge and collaboration
