What you’ll do at work
The sales coordinator's responsibilities include supporting sales, ensuring order satisfaction, coordinating with other departments, motivating staff, handling administrative duties, and promoting customer satisfaction.
• Answering the telephone and general administration duties.
• Chasing up quotes issued and discussing sales order process with
customers.
• Resolving customer issues within agreed timescales, including
providing appropriate alternative solutions.
• Pro-actively communicate with customer, Sales Office team and
Sales Manager about order status changes.
• Actively promote all products we offer.
Organising & Planning • Manage Intercompany orders and book in goods received in 3PL
warehouse.
• Maintaining shipping logs (CSL’s).
• Produce final shipment paperwork/documentation including final
invoice.
• Manage customer schedules and forecasts.
• Run quarterly promotions.
• Develop and sign-up new distributors.
• Communicate with the warehouse team for carriage and shipping
quotations.
• Regular communication with 3PL warehouse re:status of
deliveries/collections.
• Co-ordinating with warehouse for smooth process of customer
orders.
• Organise outgoing shipments, including exports.
• Liaise with suppliers to obtain product pricing and lead times.
Attention to Detail • Produce final shipment paperwork/documentation including final
invoice.
• Issue picking paperwork to the warehouse and produce export
documentation as required.
• Produce UK/EU and large customer shortfall reports and raise
Purchase orders where required.
• Invoice customers daily both UK/EU and direct orders from USA
factory/warehouse.
• Creating purchase orders to cover direct orders.
• Managing card payments.
Teamwork • Develop and sign-up new distributors.
• Work as part of a team to expand our distribution network.
• Provide administrative support to whole team as required

Course contents
* Skilled in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages. Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information and produce data analysis where required.
* Produces accurate records and documents including: emails, letters, files, payments, reports and proposals. Makes recommendations for improvements and present solutions to management. Drafts correspondence, writes reports and able to review others' work. Maintains records and files, handles confidential information in compliance with the organisation's procedures. Coaches others in the processes required to complete these tasks.
* Exercises proactivity and good judgement. Makes effective decisions based on sound reasoning and is able to deal with challenges in a mature way. Seeks advice of more experienced team members when appropriate.
* Builds and maintains positive relationships within their own team and across the organisation. Demonstrates ability to influence and challenge appropriately. Becomes a role model to peers and team members, developing coaching skills as they gain area knowledge.

Your training plan
The apprentice will be expected to spend at least 20%/6 hours per week on 'off the job' work.
They will be allocated with an assessor who will visit them within the workplace once every 6-8 weeks.
In addition, the apprentice will be required to attend an online lesson/tutorial online, once a month.
