Our proven process for dealing with all matters is:
1. fact finding to establish timescales the for the matter;
2. identifying the client’s objectives/issues;
3. identifying potential solutions;
4. providing a guaranteed fixed price for work based on points 1, 2, 3 and 5;
5. proactively progress a matter whilst keeping the client updated and resolving emerging issues; and
6. hitting client deadlines.
By working closely with the Partners and other Solicitors in the Firm, as a paralegal you will be expected to organise and prioritise a caseload of matters, in relation to each matter you will be involved with the following:
* all file opening procedures, including engaging with the client to obtain all necessary AML information, along side the supervising fee earner assessing the Risk Matrix for the client/matter and setting up the file on our electronic system. Throughout the matter continually assessing the risk profile of the matter;
* reviewing Heads of Terms and preparing draft documents to be circulated to the counterparty’s solicitor. Initially, such documents will be relatively standard and/or straightforward, however with your increased experience and confidence the drafting tasks will become more complex;
* submitting a search pack in respect of the purchase or charging of a Property;
* as appropriate, either:
o preparing a title pack for the Property, including liaising with the client to prepare replies to standard property enquiries; or
o reviewing a title and searches pack for a Property and preparing additional enquiries to be raised of the counterparty’s solicitor;
* ongoing matter management, including chasing the counterparty’s solicitor for updates on the matter, updating the client as appropriate, liaising with the client to provide responses to enquiries raised throughout the matter, reviewing amendments to the documents you have drafted;
* where appropriate, liaise with brokers to obtain quotes for appropriate title indemnity insurance;
* where applicable, undertaking legal research;
* be involved with pre-completion preparations, including preparing or reviewing Completion Statements, preparing engrossments for signature, sending documents out for signature (either by hard copy or electronically via DocuSign) and submitting all appropriate pre-completion searches;
* handling exchange and/or completion of documents, including the transfer of funds;
* be involved with post-completion matters, including preparing and submitting forms to HM Land Registry, HMRC and Companies House and sending out funds (as appropriate);
* be involved in all aspects of financial management of a matter, including raising an invoice and chasing for payment of any unpaid bills; and
* at the end of a matter completing all file closing actions.
As Partners of the Firm our commitment to you is that:
* throughout the duration of a matter you will have the full support of the supervising fee earner responsible for that matter who will:
o discuss the matter with you and set out a plan to take the matter forward, including the division of work to be carried out between you and the supervising fee earner;
o sit down with you at regular intervals to supervise the work that you are producing;
o provide training on new concepts, specific drafting techniques and technical areas of law;
o sign off the AML, Risk Assessment form, all external correspondence, draft documents and finance request forms; and
o answer any questions you may have;
