The Older Adult Community Mental Health Service provides high-quality specialist community services to older adults with mental health difficulties.
An exciting opportunity has arisen for a motivated and enthusiastic individual to work as a Team Secretary/Administrator within our Older Persons Memory Service Team. The vacancy is for 25 hours per week. You will be required to work to a high standard of accuracy, have excellent organisational skills, and be able to demonstrate initiative in planning your own workload in a way that supports the Team Managers to manage daily operational tasks and processes.
The successful post holder should have a proactive and friendly attitude, substantial administrative experience, and be able to meet the main duties of the role.
You must be able to work under your own initiative, possess excellent organisational skills, and be experienced in dealing with confidential information.
Main Duties of the Job
As part of our team, your main duty will be to provide an efficient administration service to teams across the Trust. You will undertake general office duties such as typing, filing, data uploading, record keeping, scanning/photocopying, making appointments, minute taking, and managing incoming/outgoing mail. You will be dealing with both face-to-face and telephone enquiries from patients and internal/external agencies and will be required to accurately record information on patients' medical records while maintaining confidentiality. Audio typing may occasionally be required as part of the role.

Job Responsibilities
Provide administrative support as required, for example, typing/word processing, data filing, scanning/copying, and telefaxing, in line with Trust Policies and Procedures.
Answer/deal with both face-to-face and telephone enquiries.
Deal with incoming and outgoing post.
Undertake reception duties, if and when required, to cover for staff absences.

Person Specification
Knowledge
* Knowledge of a range of administrative/secretarial procedures.
* Detailed knowledge of Microsoft Office: Word / Excel / Outlook.
* Understanding of the Data Protection Act and NHS Code of Confidentiality.
Experience
* Minute taking experience.
Skills and Abilities
* Ability to communicate clearly and effectively in English in both verbal and written formats.
* Intermediate IT skills. These will be tested at the interview.
* Accuracy and attention to detail.
Qualifications
* Educated to vocational level 3 in Business Administration.
* Or
* Educated to vocational level 2 with NHS administrative experience and will be expected to undertake the relevant level 3 qualification on appointment to post.
* I understand that I will be asked to provide original certificates to verify my qualifications at the point of offer.
