Job Summary
The Senior Staff Specialist provides comprehensive management to the PhD program.
This position is primarily on-campus, but a hybrid schedule is possible within RIT and Academic Affairs policies and at the supervisor's discretion.
Job Responsibilities
* Supervise staff assistant who supports the Senior Staff Assistant in the management of the PhD program.
* Coordinate and oversee a range of activities including supporting the Director of the PhD program with administrative tasks such as calendar management, meeting planning, etc.
* Provide support to PhD unit faculty through travel booking and reimbursement processing.
* In collaboration with the Director, create course schedule each semester.
* Provide agendas and take notes for PhD department meetings and support faculty search committees as needed.
* Work closely with Graduate Admissions to manage PhD student admissions, oversee relationship with International Student Services as needed.
* Provide excellent service to prospective and current PhD students:
o direct prospective student visit planning
o answer questions and direct to appropriate resources
o schedule defenses
o enroll students in courses
o create and keep up to date individual worksheets to track student progress through the program
o assist with certification process by ensuring students have satisfied the degree requirements.
o process paperwork for financial aid and stipends.
o ensure students are submitting materials required for the Doctoral Hooding Ceremony and confirming their attendance.
* Manage program events including new student orientation, prospective student info sessions, Research Preparedness Assessment, dissertation defenses, Doctoral Hooding Ceremony, and commencement reception.
Required Qualifications
* 5-7 years' experience in higher education or research & development environments, 3-5 years working with Ph. D. students or graduate students preferred.
* Intermediate working knowledge, or the ability to acquire such skills within the first three months, of PeopleSoft and Student Information Systems.
* Advanced working knowledge of Microsoft Suite.
* Ability to manage multiple projects simultaneously.
* Excellent ability to problem solve and make well-considered decisions.
* Excellent written and verbal communication, as well as organizational skills.
Preferred Qualifications
* 5-7 years' experience coordinating with Registrar's Office, Office of Graduate Studies, Student Financial Services, Financial Aid, Graduate/Undergraduate Admissions, Student Employment, International Student Office, etc.
* 3-5 years' experience supporting department chairs, faculty or research staff, experiences as an office manager or research coordinator.
