Are you an experienced Team Co-Ordinator, Personal Assistant or Administrator looking to take on a critical role? At Merseyrail, we're offering an exciting opportunity to join our team on a fixed-term basis to provide essential support to our HR Director, their managers, and the wider HR team during a maternity cover period.

This is a really varied role which requires flexibility, attention to detail and the ability to juggle different priorities. You will work closely with other team co-ordinators across the business, supporting each other during busy times and annual leave.
What You'll Need To Succeed
We are seeking enthusiastic and experienced professionals to support a dynamic Director in a fast-paced office environment. The ideal candidate will have a proven track record of managing executive diaries, collaborating effectively with stakeholders, and navigating a variety of situations with ease.
We are looking for a resourceful individual with a proactive can do attitude. Strong organisational skills, the ability to plan and prioritise your own workload and the capability to manage multiple tasks simultaneously are essential for success in this role.
During the handover period, you'll work from the office to ensure a smooth transition. Afterwards, you'll have the option to work from home up to three days a week as the business operates a hybrid/smart working model.
Flexibility to meet business and Director needs is essential, with additional office days required when necessary.

Key Responsibilities
Working as team co-ordinator within the HR team, you will have responsibility for;
* Diary Management: Day to day diary management for the HR Director, managing last-minute changes, liaising confidently with external contacts, and maintaining positive relationships with their assistants to ensure effective communication.
* Meeting Coordination: Scheduling of internal and external meetings, liaising with Trade Union representatives, ensuring employees are released from duty to attend meetings, preparing and distributing agendas, action trackers and papers in advance.
* Minute Taking: Producing clear, concise, and accurate minutes for key meetings within tight deadlines, capturing discussions and actions without relying on recording equipment.
* Correspondence and Documentation: Drafting letters, preparing reports, and managing confidential documents with a high standard of accuracy and professionalism and supporting the Employee Relations Business Partner with trade union activities, elections, and related tasks.
* Travel and Logistics: Organising travel, overnight accommodation, and conference rooms, assisting the HR Directors leadership team in planning events and conferences, providing on-the-ground support for their successful delivery.
* Attendance Records: Maintaining accurate annual leave and attendance records for 25+ staff each week.
* General Support: Providing essential assistance to the HR Directors management team, supporting the Directorate Support team when required, raising purchase orders, processing payments in line with financial guidelines (training provided), and adapting to changing priorities to meet business needs.
Skills, Knowledge and Expertise
* Previous experience in a similar role supporting a Director in a fast-paced environment.
* Familiarity with managing complex workloads, including balancing multiple priorities, and meeting tight deadlines.
* Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
* Experience in attending and supporting high-level meetings, including minute taking.
* High attention to detail with a focus on accuracy.
* Excellent organisational and time management skills.
* Problem solving mindset with the ability to adapt to last-minute changes.
* Discretion and professionalism in handling confidential information.
