With a focus on organisation, efficiency, and collaboration, you'll help manage day-to-day operations, financial processes, and IT systems-all while contributing to impactful projects in the world of rare genetic diseases and drug development. Be part of something meaningful in a flexible, part-time role with room to grow Responsibilities and Duties Calendar Management Internal meeting set up/ External meeting set-up Call set up (incl. conference call dial-in set up/coordinating) Occasional travel management (incl. coordination with out-sourced travel agent for flights, hotels, rental cars, car service) Financial Admin/Expenses Monthly expense reporting, Coding expenses Use of Xero and Excel, to support our Finance Team Preparing, submitting, tracking client invoices and chasing up payments when delayed Monitoring subscriptions and renewal fees, negotiating where applicable with suppliers Supplier procurement IT Systems Support Assisting with setup and management of: MS Office Suite, MS Sharepoint, Slack, Notion, Asana, Sage HR, HubSpot, Github, Teams, Zoom, Microsoft Azure, Social Media platforms Document Management and Support Cloud storage management Document signature - Adobe, DocuSign PowerPoint Deck editing; typing; printing Client and supplier contract management HR Support Employee/consultant contracts Annual reviews Share option scheme Another general HR admin Miscellaneous Conference registrations & management Compliance and technology support Subscription support Special projects as assigned e.g. dealing with investors Qualifications and Experience 5-10 years administrative support and office experience - prior experience in health/medical/science sectors a definite advantage, but not essential Bachelor's degree preferred, but not essential Exceptional organisational skills with focus on attention to detail and demonstrated ability to prioritise and work independently as well as collaborating with different teams Effective communication skills with the ability to interact within all people internal and external Excellent Microsoft Office skills incl. PowerPoint, Excel and Word essential Strong IT skills
