We now have a rare opportunity available to join this wonderful team of superstars ABOUT THE ROLE We are seeking a detail-oriented and proactive PPM Scheduler to join our team. The primary focus of this role will be scheduling Planned Preventative Maintenance (PPM) tasks for internal engineers and subcontractors via our CAFM system. You will work closely with both internal and external stakeholders to ensure maximum statutory compliance and that KPIs are consistently met, maintaining regionalised scheduling to optimise operations. This position requires excellent organisational skills, effective communication, and a collaborative approach to ensure service delivery targets are achieved. Your contribution will be integral to driving compliance and supporting the smooth operation of our maintenance activities. What You Will Be Responsible For: Smart scheduling of internal engineers to ensure the most practical engineer is assigned to a site, considering trade, distance, and capacity. Coordinating the scheduling of applicable subcontractors through effective communication via email, phone calls, or our subcontractor portal. Uploading subcontractor paperwork for non-portal users, ensuring that any remedial actions have been identified and addressed accordingly. Updating any third-party client CAFM systems to ensure accuracy and alignment with scheduled works. Collaborating closely with the Supply Chain Manager to escalate any subcontractor issues or behaviours that require resolution. Hosting weekly forecast meetings with internal operational stakeholders to drive a collaborative approach towards achieving KPIs and SLAs. Working with the Scheduling Supervisor to streamline operational performance by analysing current processes, introducing continuous business improvements, and enhancing data quality. Ensuring adherence to the delivery of PPM labour in alignment with organisational objectives. Continuously monitoring and adjusting schedules to optimise efficiency and compliance. Ensuring all scheduling aligns with statutory requirements and organisational targets. What We Are Looking For: Strong written and numerical skills with a solid foundation in basic communication. IT literacy, including intermediate proficiency in Microsoft Office applications. A basic understanding of operational functions and service delivery processes. Awareness of expectations, deadlines, and targets, both internally and externally. A good working knowledge of CAFM systems and PPM scheduling processes. Excellent administrative skills and the ability to work effectively within a team environment. Proven experience collaborating with both internal and external stakeholders. Strong problem-solving capabilities and a proactive approach to addressing challenges. A general understanding of engineering practices and their application in a facilities management context.
