Job Title: Accounts Assistant
Reporting: Financial / Managing Director
Location: Flova HQ – Swallow Business Park, Diamond Drive, Hailsham.
Training: 2-week induction at our Finance Head Office in Crowborough, East Sussex.
Hours of work: Monday – Friday, 8:30 – 17:00 with 30 minute lunch break.

Job Overview:
Flova UK seeks a detail-oriented and proactive Accounts Assistant to join our team. The primary responsibilities of this role include managing the sales and purchase ledgers, assisting with credit control, and providing support to the purchasing department. The ideal candidate will have strong organisational skills, attention to detail, and a passion for contributing to the efficiency of financial operations.
Key Responsibilities:
Sales Ledger:
1. Process and maintain sales invoices in a timely and accurate manner.
2. Record customer payments, ensuring correct allocations.
3. Reconcile sales ledger accounts regularly and address discrepancies.
4. Prepare and distribute customer statements, ensuring accurate reflection of accounts.
Purchase Ledger:
1. Process purchase invoices and ensure they are appropriately approved.
2. Reconcile purchase ledger balances and resolve any discrepancies.
3. Prepare and process payments to suppliers in line with agreed payment terms.
4. Maintain purchase ledger accounts and update records regularly.
5. Assist in the preparation of purchase reports.
Credit Control:
1. Manage and monitor outstanding debts, proactively contacting customers to ensure timely payments.
2. Prepare and issue reminders and follow-up on overdue accounts.
3. Work with the sales team to resolve customer invoice queries.
4. Prepare aged debtor reports and assist with clearing queries.
Purchasing Support:
1. Support the purchasing team with administrative tasks, including order processing and supplier communication.
2. Help maintain accurate records of purchases and monitor inventory levels where necessary.
General Financial Support:
1. Assist in month-end processes, including reconciliations and reporting.
2. Maintain accurate financial records in accordance with company policies and procedures.
3. Provide general administrative support as required.
Key Skills & Competencies:
* Strong numerical and analytical skills.
* Excellent attention to detail and accuracy.
* Ability to prioritise tasks and manage time effectively.
* Strong communication skills, both written and verbal.
* Proficiency in accounting software and Microsoft Office.
* Experience of Sage 200 is a bonus.
* Ability to work well both independently and within a team.
Qualifications & Experience:
* Previous experience in an Accounts Assistant or similar finance role.
* Knowledge of accounting principles and procedures.
* Experience with sales and purchase ledgers, credit control, and purchasing processes.
Training & Support:
