Key Responsibilities & Authorities:
1. Processing of sales quotations, sales orders and sales invoices in an effective manner;
2. Ensuring payments to suppliers are made efficiently and in accordance with terms and conditions;
3. Pay any debt as it falls due for payment in accordance with terms and conditions and monitor/action debt levels;
4. Prepare and issue invoices and financial statements to customers/clients;
5. Record cash and cheque receipts and make bank deposits;
6. Conduct a monthly reconciliation of bank accounts and periodic reconciliations of all accounts to ensure their accuracy;
7. Maintain a petty cash fund;
8. Work closely with the external accountant to ensure financial information is provided/shared, and all tasks are up-to-date in accordance with any associated deadline dates;
9. Calculate and issue financial analysis of the financial statements to the Director as required;
10. Calculate variances and report variance issues promptly to the Director;
11. Utilisation of HM Revenue and Customs’ (HMRC) PAYE Online Service to ensure payroll reports/forms are submitted timely and all associated payments made in accordance with deadline dates;
12. Process payroll in a timely manner ensuring accuracy, records are maintained, and payments made in accordance with company timelines;
13. Process VAT in a timely manner ensuring accuracy, appropriate records are maintained, and payments made in accordance with deadline dates;
14. To ensure company insurances are valid and appropriate records maintained;
15. Maintain employee absenteeism records;
16. Provide financial support associated with the Integrated Management System;
17. Provide contract management support in relation to performance and analysis, i.e. Key Performance Indicators;
18. Maintain an orderly accounting/financial filing system;
19. Provide general administrative support to the Administrative Team as directed by the Management Team.

22. To comply with the company’s Integrated Management System and in accordance with UKAS Certification BS ISO9001:2015, BSI ISO 45001:2018 and BS ISO 14001:2015.

Qualifications & Skills:
1. Qualified to Degree Level in an Accounting, Finance, or Business-related discipline;
2. Relevant knowledge and experience gained in a similar role, and acceptance of accounting principles;
3. Accuracy and attention to detail;
4. Ability to work under pressure to comply with deadline dates;
5. To be honest, discreet and trustworthy;
6. Knowledge and experience of Microsoft Word, Microsoft Excel and Xero Accounting software is desirable but not essential;
7. Positive attitude;
8. Ability to work on own initiative and as part of a team;
9. Excellent communication skills, both oral and written;
10. Good organisational skills – to assist managing workload levels and complying with deadline dates.
