Job Title : Examinations Invigilator
Reporting To: Examinations Officer
Key Tasks and Responsibilities
Before Exam
* To be available at least 45 minutes before exams start in the morning or afternoon (for Public Examinations this is 9:00 and 13:30)
* To support the Lead Invigilator with the setup of the examination room prior to the arrival of candidates to ensure that:
* heating, lighting, ventilation and levels of extraneous noise are acceptable
* no display materials that might be helpful to candidates are visible
* a reliable clock of readable size is visible to each candidate (a digital clock will be used in all exam rooms).
* Appropriate warning notices are displayed both inside and outside the examination room
* the seating plan is displayed and the seating arrangements prevent candidates, intentionally or otherwise, from overseeing the work of others
* put out the candidate cards as per the seating plan, together with any dictionaries, formula books and texts as required
* To supervise the students as they enter and ensure they sit according to the seating plan
* To ensure no unauthorised items are brought into the examination hall, such as watches, mobile phones, MP3, ipods, smart technology, revision notes or other paperwork
* To ensure all candidates receive correct examination question papers and appropriate answer paper
* To be aware of the pre-exam start information and of any erratum notice that may affect candidates
During Exam
* To be aware of any needs that candidates may have during an examination
* To ensure candidates obey the regulations of an examination room as laid out in the examination guidelines
* To maintain security and confidentiality
* To supervise the candidates throughout the whole time the examination is in progress, always give complete attention to this duty through active observation and patrol between desks
* To ensure there is no talking or disruption for the candidates once an examination has begun
* To ensure that invigilators DO NOT help candidates in any way with the question paper
* Provide support for individual students in special circumstances for example those who may require Access Arrangements (e.g. additional time)
* Supervise students who have to leave the examination room for any reason such as illness or who have examination clashes i.e. more than one examination at the same time on the same day
At the end of the Exam
* At the end of the examination, to collect all scripts from exam desks and ensure that candidates have used their legal name, correct Centre and candidate numbers
* To ensure answer scripts are collected in candidate number order and are supervised as required until they are delivered to the Exams Office
* To collect all question papers, formula books etc. before dismissing the candidates
* To collect all unused stationery in the examination room and return it to the Examinations Officer
* To ensure that the room is left in a tidy condition and is ready to be used for the next exam
General
* To sign the centre’s confidentiality declaration
* Attend and participate in meetings as required prior to invigilation
* Participate in training and other learning activities as required
Required Skills, Qualifications and Personal Qualities
* Confident using a range of IT programs
* Able to work unsupervised and be self-motivated
* Able to work as part of a team and follow instructions
* Great attention to detail and excellent written skills
* Must be able to deal efficiently, tactfully, politely and confidentially with staff, parents, visitors, etc. even in adverse situations i.e. a very high level of customer service skills is vital
* Must be proactive, positive, cheerful, kind, friendly, empathetic, honest, reliable, and energetic
* Must be able to work calmly under pressure and prioritise tasks through careful time management with a highly organised and methodical approach to work
* Maintaining confidentiality is critical
