About the role
We have a fantastic opportunity for an Event Manager to join our Operations team overseeing and implementing the preplanning, organisation, and presentation of all events at Cheltenham Racecourse. This includes ensuring high standards of site presentation, delivery of excellent customer experience, and managing health and safety, logistics, and relationships with customers, contractors, and third-party partners.
The Event Manager will
1. Carry out the preplanning, execution, and delivery of events at the Racecourse, ensuring that cross-department liaison is effective in delivering efficient, cost-effective operations that always exceed customers’ expectations.
2. Work on events as a Duty Manager to ensure the running of the event is safe and efficient, conducting comprehensive event checks to ensure the venue is presented to the highest standards.
3. Liaise with event organisers regarding their requirements, providing technical and logistical information about the venue and advising on layout plans, including facilitating site visits when required.
4. Ensure facilities are fit for use for the client prior to their tenancy and assist in the preparation of all facilities for events, including set-up of audio-visual equipment, power leads, and movement of furniture appropriate for the event.
5. Ensure the facilities are returned post-tenancy in excellent condition and all equipment returned to storage.
6. Assist the operations team in creating purchase orders, checking and certifying invoices, and controlling expenditure while seeking to improve operational profitability.
7. Use the event management system to create comprehensive, detailed function sheets, accurate to specific event requirements in a timely manner, and share information with key partners, including security, cleaning, and catering teams.
8. Work with the sales team to ensure seamless customer experience for conferences and events, from handover of booking to delivery, ensuring customer requirements are always paramount while fully utilising upselling opportunities to increase profitability.
9. Ensure that minimum standards are always delivered, and customer service is always to the highest possible standard.
10. Ensure any maintenance issues are reported promptly to the facilities team, through due process.
11. Work with the Operations Manager in developing security and stewarding schedules for events.
12. Support the operations team in the preparation and running of racedays.
