35 hours per week Location: Deaf Action, Albany Street, Edinburgh Salary £27-£30K per annum Closing date: 14th March 2025 Interviews: w/c 24th March 2025 We’re looking for an experienced Senior Administrative Assistant to work as part of our admin pool, with direct additional responsibilities as the Personal Assistant for the CEO. Are you looking for a challenge and believe you can fulfill the role of PA /Senior Administrative Assistant supporting at Chief Executive level? Working closely within the admin pool and specifically the Chief Executive (CEO), you will take pride in your role, and by ensuring you work at your highest level, you will assist with the smooth running of the organisation. One of the main responsibilities will be to support the CEO and, through the administrative pool, ensure all organisational activities are well organised and recorded. You will be a team player, have excellent organisational skills, first class communication skills, and the ability to prioritise a workload, both on a proactive and reactive basis. You will be diligent, empathetic, and able to operate on a confidential basis. The role Duties include: • Provide communication support to CEO ensuring full daily access i.e. booking interpreters, notetaking in meetings, office inclusion. • Maintain the CEO’s digital calendar and ensure CEO is well prepared for meetings. • Manage and prioritise CEO’s emails. • Manage travel, accommodation and expenses for CEO. • Prepare for all CEO meetings including organising catering / refreshments, booking interpreters, booking meeting rooms, collating attendance & apologies, and pre-meeting room set up. • Manage and monitor CEO's personal social media channels, with support from the Marketing Team. • Draft reports and letters as required. • Deal promptly and appropriately with all forms of correspondence, referring to CEO when necessary. • Prepare and check accuracy of CEO comms – monthly internal comms, and ad hoc. • Attend briefings with CEO to discuss and plan workload, tasks, emails etc. • Governance support including minuting meetings, coordinating meetings, and distributing agendas & papers for Board Meetings, and Senior Management Team Meetings. • Provide support to CEO on projects. • Create and amend documents and presentations as required. • Using various software, including word processing, spreadsheets, databases, and presentation software. • Manage CEO’s Access to Work administration; monthly sheets, new applications, checking payments, etc. • Support the Senior Management Team and staff on behalf of CEO in meeting the strategic aims of Deaf Action. • Be part of the administrative pool, to ensure all administrative tasks throughout the organisation are covered, liaising closely with the Resources Team, which may involve covering reception at times. Person specification (essential) • You will be an experienced PA/Administrator. • The successful candidate will have excellent attention to detail, fantastic interpersonal skills, a flexible attitude and the ability to work to tight deadlines. • Experience of using project management tools to manage tasks.
