Description
The main responsibilities for the Management Assistant role are:
* Welcome visitors to the office and take switchboard calls
* Maintain office supplies
* Respond to customer correspondence and enquiries
* Support Directors in their roles as and when required
* Provide weekly reports for Directors
* Coordinate diary entries for regular meetings (Board, Sub-Board, Regional Updates)
* Organise legal documents to be reviewed by Directors and project team
* Assist the Group Office Manager in ensuring all HR and Health and Safety records are kept up-to-date
* Assist the Group Office Manager with HR and H&S functions
* Assist the Group Office Manager in ensuring full compliance with all QMS policies and procedures
* Assist in implementing and maintaining QMS procedures and office administrative systems
* Assist with maintaining contact register
* Assist with approving employee expenses
* When required, assist with creating invoices
* Assist with marketing activities which include digital platforms
* Assist with organising events including hotel bookings and travel
