How you'll make a difference
Supporting the Service Director of our Information, Technology and Digital team, you will provide a high-quality administrative service. You will manage diaries and make appointments, arrange and take notes at meetings as necessary and assist the Service Director in working electronically wherever possible.
The role will entail a mix of both home working and office based as appropriate.
What will you be doing?
1. You will act as the first point of contact for all enquiries relating to the Service Director and actively manage diary appointments, emails, phone calls and paperwork.
2. On behalf of the Service Director, you will liaise with internal and external partners including contact with members and colleagues from different departments and organisations.
3. At times, you will need to exercise strict confidentiality as you will be dealing with sensitive matters including using systems to log relevant information.
4. It will be your responsibility to draft and send communications on the behalf of the Service Director as required.
5. At times you will also provide PA support services to the Service Directors as required, remaining flexible and responsive on a daily basis.
What we need from you
6. Given the duties of this role, you will have experience of working as a PA to a senior manager.
7. You will need to have good literacy skills including written and verbal communication skills with the ability to collate and communicate information effectively with colleagues, members and other parties at all levels.
8. Due to the nature of this role, you will enjoy being forward thinking and have good planning, preparation and task management skills to assist with diary management and meeting requirements.
9. You will be able to take comprehensive notes that are an accurate representation of meetings attended.
10. You should have good influencing skills, with the ability to negotiate with people from a range of different backgrounds to achieve a desired result.
11. Ideally, you will have experience of collaboration tools such as Skype, Teams, Planner and yammer, working on single documents with colleagues and more generally use of the Web, search, e-commerce, CRM, information dashboards and analytics.
