The School Operations Manager ensures the smooth day-to-day functioning of school operations. This role focuses on creating an optimal learning environment by overseeing facilities, logistics, technology, safety, and compliance in partnership with the Director of Operations. The Operations Manager works closely with school leadership, staff, and external vendors to support the school’s mission and goals. The scope of the responsibilities includes the following: Team Leadership Providing excellent customer service that is professional, informative, and supportive in person, on the phone, and in written communication Provide training and professional development opportunities for team members Foster a collaborative and efficient work environment Maintain accurate records, standard operating procedures, and compliance audits Support the execution of school-wide goals and priorities Ensure adherence to federal, state, and local regulations Oversees and monitors other operations staff in the absence of the Director of Operations With the support of the Director of Operations, provides staffing coverage as needed for operations office staff absences Assist with State Reporting reporting completion upon request (i.e. SIMS, PDPS, EPIMS) Manage daily, weekly, monthly, quarterly, and annual office/clerical support schedules in collaboration with the Director of Operations Manage Late Duty schedule (9:30 am-6:00 pm) to ensure that busses clear daily; serve as a substitute as needed Assist in preparing and mailing Lottery and Waitlist letters Assist in student recruitment as needed Collaborate with Academic Leaders to print, distribute, and record Report Cards and assessment results Collaborate with Academic Leaders to plan Run of Show documents and logistics for school events Prepare, print, and record discipline letters/records as requested Operations and Logistics Ensure classrooms, offices, and common spaces are clean, organized, and functional, alerting the facility manager to help remedy as needed Oversee the procurement and inventory of supplies, materials, and equipment by ordering and receiving Collect and distribute information from classroom mailboxes in the morning and afternoon Communicate effectively with families, staff, and stakeholders regarding operational updates Assist in preparing the school annually for start-up/new school year launch Plan logistics for and implement school initiatives and events together with school leadership Audit operations documents and keep up-to-date (i.e. Staff Directory, Dismissal documents, cumulative files, student rosters, records, etc.) Maintain office security by following safety procedures and controlling access via the reception desk (i.e. monitoring the entrance door camera, buzzing in guests, monitoring Visitor Log, issue visitor badges) Monitor expenditures and identify cost-saving opportunities Maintain an inventory system for supplies Manage the classroom snack system (ordering and distribution) Order catering for staff events as requested by the Executive Director Ensure all supply areas are orderly in the Main office and Teacher Bullpen Translate documents as needed Create and maintain a system for securing student cumulative files and tracking who is viewing them Restock office supplies and consumables in the Main office and Teacher Bullpen (kitchenette, copiers) Keep the lobby area clean, inviting, and informative for families Direct visitors to the appropriate person or location Assist with overseeing and assigning arrival and dismissal duties as directed/assigned by the Director of Operations Coordinate student transportation; including maintaining CPP with SPS and VanPool Clerical Manage day-to-day documentation (e.g. dismissal, visitor log, messages, etc.) Data entry (e.g. PowerSchool, etc.), especially maintaining updated student contact information accurately and efficiently Receive, screen, and direct all incoming phone calls Manage voicemail box and pass along messages in a timely fashion Receive mail, date stamp, and distribute daily Receive and distribute packages/deliveries daily Perform group mailings (using mail merge) Manage and send communication as needed using Intrado (our Robocall system) Manage outgoing and incoming mail and postage funds Clerical work including but not limited to file distribution, copying, laminating, and mailing Help make initial Make Up Academy calls Drafting communications to families, flyers, press releases, etc. as requested Keep a record of all communications we send home including newsletter, monthly calendar, teacher letters & event flyers Set up and maintain the Student Record file Set up and maintain student emergency contact information With the Attendance Manager, log late arrivals and early departures and reasons for absences and record in the SIS system Receive faxes and copy and/or distribute them daily Assist in maintaining and ordering supplies for the School Store Professionalism Uphold our school’s values, school-wide key systems, and student accountability systems for academics and character Consistently meet our school expectations for professionalism and fulfill required responsibilities in a timely and professional manner Frequently check email and respond to inquiries as needed within 48 hours Read the Weekly Memo in advance of the start of the school week Qualifications Bachelor's Degree in a related field of study OR 3-5 years of experience in school operations, logistics, or management.; Minimally Associate's degree or higher preferred Strong organizational, problem-solving, and project management skills Excellent communication and interpersonal abilities At least 1 years of experience managing others Bilingual (Spanish/English) preferred Proficient in reading and writing in Spanish preferred Translation and/or interpretation certification preferred Proficient typing skills Moderate to high experience using programs and applications such as Google Suite, Excel, Word, PowerPoint, Instagram, Facebook, Previous experience with Power School SIS strongly preferred Salary Starting at $50,000.00 & up - Commensurate with education and experience The preceding job description has been designed to indicate the general nature and level of work performed by employees within this classification.
