Join our dynamic Engineering Team in Frating as an Administrator, where your administrative expertise will be pivotal in ensuring the smooth and efficient running of our site. You will play a key role in supporting our engineering operations, maintaining our high standards of Health & Safety compliance, and ensuring that our warehouse operations continue to run seamlessly. This is an exciting opportunity to work within a collaborative team, where your contributions will directly impact the success and safety of our site.
This is a full time, fixed-term opportunity until December 2025.
Key responsibilities:
1. Provide administrative support to the Engineering team to enhance their effectiveness and efficiency.
2. Implement office and engineering procedures to ensure Health & Safety compliance.
3. Create, update, and maintain records and checklists in line with departmental H&S procedures (e.g., PUWER, COSHH, LOTO, LOLER).
4. Record and maintain Health & Safety risk assessments and COSHH assessments, ensuring the COSHH cabinet is up to date.
5. Liaise with the Health & Safety Manager for sign-off where applicable.
6. Arrange Work Permits, inductions, and collate relevant H&S documentation for suppliers and contractors.
7. Maintain schedules for Preventative Maintenance.
8. Collaborate with the engineering and operations teams to raise orders for spares, ensuring timely availability of consumables.
9. Manage and maintain supplier relationships to procure parts, ensuring optimal solutions, timings, and prices.
10. Provide budget updates and checks.
11. Maintain Purchase Orders (POs) and invoices.
12. Keep training records for all engineers, including third parties, up to date.
13. Coordinate and organise training and refresher courses for the team.
14. Organise site visits from service suppliers and maintain service contract schedules.
15. Perform any other administrative duties to support the team as required.
What you’ll bring
Essential criteria:
16. Extensive administrative experience.
17. Proactive self-starter who enjoys being part of a team.
18. Strong Microsoft Office skills, including Excel, Word, and PowerPoint.
19. Competence in using MS Teams and Outlook for virtual meetings and work groups.
20. Exceptional organisational skills, with the ability to develop and use systems to track information and work progress.
21. First-class communication skills, both written and verbal, with the ability to interact effectively at all levels.
22. Keen attention to detail, ensuring the accuracy of your own and others' work.
Preferred criteria:
23. Knowledge of H&S is desirable but not essential. Training will be provided where applicable.

Salary
