Key Responsibilities:
* Legal Document Management: Maintain organized electronic files of legal documents, ensuring all materials are filed and easily accessible. Upload documents, Bates number documents and organize documents electronically.
* Drafting: Draft and send professional correspondence to opposing attorneys, clients, and other parties involved in family law matters. Assist in drafting pleadings such as complaints, subpoenas, motions and other domestic relations pleadings.
* Financial Statements: Assist in drafting Probate Court Financial Statements. Must have general knowledge of financial documents such as W-2’s 1099’s, tax returns and familiarity reviewing bank statements and tax returns.
* Record Request: Coordinate and follow up in a timely manner on requests for records from the Department of Children & Families, medical records, educational records and financial records, ensuring appropriate authorization and organization. Redact sensitive information from records in compliance with confidentiality standards. Bates number records for easy identification and reference.
* Attorney Calendar: Assist Attorney in managing calendar. Send out reminders to clients regarding court dates and client meetings.
* E-Filing in Probate Court: Manage e-filing of legal documents in probate and family courts, ensuring accuracy and compliance with court rules.
* Bookkeeping: Provide basic bookkeeping support, including payment of and recording expenses.
Required Qualifications:
* Organization & Time Management: Excellent organizational skills, strong attention to detail with the ability to manage multiple tasks and deadlines efficiently. Ability to work independently.
* Experience: A minimum of 1 year of experience working in a law office and with knowledge of Massachusetts Probate and Family Law procedures and documentation.
* Confidentiality: Ability to handle sensitive client information with discretion.
* Notary Public: Active Notary Public certification in the state of Massachusetts.
* Bilingual: Spanish and Portuguese is a plus.
* E-Filing: Familiarity with probate court e-filing systems.
* Computer Proficiency: Strong computer skills, including proficiency in Microsoft Office Suite (Word, Excel, Gmail, Adobe) and legal software (e.g., Clio).
* Writing: Excellent written communication skills. Must be able to draft correspondence in business format.
* Financial Acumen: Basic understanding of financial documents and the ability to assist in organizing financial data for case preparation.
