The Role The Site receptionist will act as the first point of contact to site for site security and meeting visitors. The receptionist will also be the safety point of contact when any test and evaluation activities are in progress. In case of an emergency they would be responsible to coordinate the timely reaction of emergency services. The receptionist would coordinate visitor inductions and manage the office administration to ensure an effective operation of site and trials support activities. The receptionist typical tasks would be stationary stock level management, ensuring customer hospitality on site, booking meeting rooms, support site activities and PPE management. Role Responsibilities: Not limited to Stationery Managing the stationery ordered on a weekly basis to ensure stock levels are kept maintained and are in line with monthly and yearly GL Code budget allocated. Order all consumables for printers and report any breakages. Book in deliveries. Visitor Management Be the first point of contact to all visitors to site, ensuring correct VNF, and PPE requirements are adhered to. Manage site induction process for all visitors, ensuring all arrivals and departures are recorded to adhere to site induction procedures. Liaise with external and internal contractors to ensure that site rules are adhered to. Ensuring that all visitors are informed of general site rules and expectations. Customer Hospitality Ensure meeting room is prepared for all external meetings, including arranging for refreshments. Room Bookings Accepting all meeting requests, completing the Site Meeting Room Diary. Managing the conference rooms bookings & diary What BAE Systems are looking for from you: Multi-tasking and time management skills, with the ability to prioritise tasks Proven office administration experience, ideally 2 years General administration - photocopying, scanning Support with new starter site onboarding Microsoft packages - Word, Excel and PowerPoint SAP (desirable) Security Requirements: SC & UK EYES ONLY This role will require the person to hold full Security Clearance (SC) prior to working onsite. You will need to obtain a BPSS check as part of this process. You must currently hold or be eligible and willing to obtain SC and you must be eligible to work in the UK without sponsorship and have lived and worked in the UK for a minimum 5 year period. The Umbrella rate quoted above is the Gross Umbrella rate (i.e. the rate we pay to the Umbrella Company inclusive of ALL employment costs).
