Role Purpose:
Assist the Ward Manager and nursing team with ward administration and clerical duties to ensure smooth ward operations, including acting as a receptionist for visitors.
Main Duties:
* First point of contact for patients, families, and visitors, ensuring messages are passed promptly.
* Register patient details accurately on Cerner and admit/discharge via Cerner and EPRS systems.
* Handle inquiries via phone and in person, book follow-up appointments, and manage administrative tasks like answering phones, emails, photocopying, scanning, and mailing.
* Arrange hospital transport and manage visitor interactions following protocols.
* Provide cover for colleagues as needed, possibly across different sites.
* Develop relationships with medical staff and administrative teams.
* Maintain ward records, update whiteboards, and assist with patient wristbands and discharge feedback.
Additional Responsibilities:
* Order, receive, and dispatch goods; maintain stock and equipment records.
* Handle complaints, confidentiality, and process improvement suggestions.
* Manage medical records and ensure mandatory training is completed.
Ward-Specific Tasks:
* Order equipment, report faults, complete capacity reports, and manage specific ward procedures.
Person Specification:
* Educational requirements include NVQ Level 2 and experience equivalent to NVQ Level 3, GCSE English.
* Experience in busy healthcare environments, system proficiency, and minute-taking skills are desirable.
* Skills include computer literacy, organizational ability, customer care, and effective communication.
* Knowledge of data protection, child and adult safeguarding.
* Personal qualities include teamwork, ability to meet deadlines, flexibility, and site mobility.
