JobSummary:
This role fallswithin the Highways Transport and Planning (HTP)Directorate.
Reporting to aTeam Leader you will provide a customer focused and efficientadministrative service prioritising your daily tasks in accordancewith team requirements and serviceobjectives.
You will beresponsible for delivering a range of administrative tasks to ahigh standard of quality within agreed timescales. These are likelyto include such tasks as organising large scale events and meetingscoordinating statutory panels collating and presenting informationin a clear format preparing reports and agendas producing accuratemeeting minutes and spreadsheets email inbox management fulfillingstatutory requests completing complex correspondence anddocumentation financial administration and updating websites andcouncil IT systems in order to support servicedelivery.
KeyDuties/Accountabilities:
Delivers timelyand efficient specialist administrative support to a team or acrossteams with an awareness of team requirements andpriorities.
Communicateswith and develops good working relationships with relevant managersand colleagues in order to deliver an effectiveservice.
Prioritises ownday to day work working with colleagues to deliver objectives and acustomer focussedservice.
Managesincoming email boxes and updateswebsites.
Producescomplex accurate factually and grammatically correct documentationcorrespondence andreports.
Organises largeevents and meetings ensuring reports are completed and provided.Responsible for fulfilling relevant statutory requests andreports.
Responsibilityfor processing and / or raising Purchase Orders and invoicing andother relevant financialadministration.
Updates andmaintains relevant computerised and manual records relating to theservice appropriately andaccurately.
Refers complexor technical queries and those unrelated to the serviceappropriately working under guidance on unusual or difficultproblems.
Followsprocedures and processes to respond independently to daytodaytelephone email and written queries including using initiative toresolve unexpected problems wherenecessary.
Appropriate andcareful daily handling of confidential and sometimes sensitive orpersonal financial or other related information relating to theservice.
EssentialExperienceRequired:
Excellentcommunication skills for answering telephone email and facetofacequeries effectively communicating with staff andcustomers.
Clear andeffective written communication skills to produce accurate meetingminutes write nonstandard correspondence documentation and reportspresent data and financial information and to write and respond toemails appropriately demonstrating accuracy and attention todetail.
Good numeracyskills in order to work with figures and data to make sound andaccurate financial calculations and data collection workingmethodically.
Good analyticaland problemsolving skills to analyse specialist information anddraw practical conclusions and appropriate actions with anunderstanding of relevant policies andprocedures.
Ability toidentify the most efficient and effective ways of working embracechange and adapt to changing situations and new ways of workingpositively and effectively including the ability to learn newsystems andprocesses.
Excellent ITskills enabling effective daily use of office applications such asMicrosoft Outlook Teams Word andExcel.
EssentialQualificationsRequired:
4 GCSEs with AC/ 49 passes including Maths and English or equivalent qualificationor experience demonstrating that level of numeracy andliteracy.

Workingarrangements Full time Monday toFriday.
Office locationCounty Hall Northleigh Chichester. (You may be asked to work at adesignated office provide support remotely or work flexibly acrossWSCC office hubs dependent on serviceneeds).
