WHAT TO EXPECT An opportunity has arisen for a Personal Assistant to join our team in a critical role to the smooth running of the business excellence function. You’ll have sole responsibility of the director’s time, prioritising key business activity, liaising with their leadership team, management of objectives, management and preparation of paperwork and follow up of actions, delivery on time and on quality of all tasks assigned to the director and their function. Key Accountabilities & Responsibilities: • Provide organisational and administrative support to the Director & First Line Reports including Inbox and Calendar management • Work as part of the Business Office team to help the Directors, and wider organisation to maximise their efficiency and impact • Diary co-ordination and management with internal and external stakeholders and manage Director’s emails and tasks until complete, prioritising and delegating where necessary, flagging up immediate and urgent concerns and acting accordingly • Meeting organisation, logistics support like booking meeting rooms, venues, catering and general events logistics (as applicable) • UK and Overseas travel booking, visas, accommodation, creation and management of Director expenses. Maintain the gifts and entertainment register / holiday trackers for effective team management and organising and storing paperwork, documents and computer-based information WHAT YOU’LL NEED • Agile and flexible approach to change – adapting last minute business priorities • Strong ability to organise Executive Director’s tasks, to ensure objectives are met, making recommendations where appropriate • Proactive approach, always looking ahead and ability to see beyond the short-term immediate tasks, providing recommendations and suggestions, looking at the bigger picture • Ability to prioritise urgent and important workstreams and tasks • Excellent IT skills – particularly with Microsoft Office packages LI-POST A leading premium automotive business and leading to move towards electric autonomous vehicles.
