Main Duties & Responsibilities:
* Case File Management: Ensure all case files are accurate and up-to-date, including opening new files as required.
* Regulatory Compliance: Adhere to all legal and administrative requirements governing conveyancing practice, maintaining high standards of professionalism and accuracy.
* Sales Contract Preparation: Draft and prepare sales contracts and all supporting documentation with precision.
* Client Communication: Regularly liaise with clients to keep them informed and up-to-date on the progress of their case.
* Title Investigation & Enquiries: Investigate property titles, raise appropriate enquiries, and carry out necessary searches, providing clients with detailed reports on the results.
* Documentation & Reporting: Ensure all relevant information is communicated clearly to clients, including maintaining accurate records of telephone conversations and events.
* Money Laundering Compliance: Ensure all required identity documentation is collected and filed in line with the company's Money Laundering Policy & Procedures.
* Payment & Financial Management: Log incoming payments promptly, prepare invoices and financial statements, and ensure all accountancy paperwork is completed in a timely manner.
* Correspondence & Administrative Duties: Prioritise and process all incoming correspondence daily to keep everything on track.
* Exchange & Completion Management: Prepare for contract exchanges, manage post-exchange issues, and deal with all post-completion work, including registration formalities.
Key Competencies:
* Organisational Excellence: Strong organisational skills with a keen eye for detail to ensure the efficient management of multiple cases.
* Experience: You will have residential conveyancing experience, covering all aspects of property sales and purchases. Qualified candidates or those with equivalent experience are encouraged to apply.
* Tech-Savvy: Experience using case management software is essential. Familiarity with RedBricks is a plus, though not a requirement.
* Communication Skills: Excellent written and verbal communication skills are key to this role, as you will be liaising with clients and colleagues frequently.
* Client-Focused: A strong focus on customer service with the ability to manage client relationships with professionalism and care.
Location: Swindon, Wiltshire
Hours: 37.5 hours week - Flexible start/finish times
Salary: £27,500 - £45,000 (Depending on Experience)
