About the role:
This role offers the opportunity to join Attivo at an exciting time, directly supporting our CEO and delivering a business-critical role. As the Executive Assistant (EA) to the CEO, you will be responsible for supporting a range of strategic projects, providing an efficient and responsive administrative, organisational, and logistical service, helping to manage and prioritise time and ensuring actions are completed. This is a management-level position with a high level of autonomy.
The successful candidate will need to be based at our Cheltenham Head Office approximately 3 days per week, with travel required to other offices. The ability to be flexible is key for this position.
About you:
You're super organised and proactive. You want to work for an ambitious and growing business, where no two days are ever the same. Your communication skills are advanced, and you can articulate complex business matters and answer questions with tact and diplomacy.
You're an experienced PA or EA and have supported C-Suite before, ideally within Financial or Professional Services. You have experience working for a growing business. A background in Project Management would be an advantage, particularly if combined with strong business acumen.
You are a relationship-builder, able to influence without authority, and actively position yourself as the go-to person for support. The dynamic nature of this role requires exemplary time management skills and the ability to identify and anticipate the CEO's needs. The role must interact seamlessly and professionally across a broad range of individuals, including members of the Senior Management Team and Board of Directors. To perform this job successfully, you are expected to handle highly sensitive and confidential financial, legal, personnel, and Company information while exercising professionalism and discretion.
Key Responsibilities include:
* Work directly with the CEO to support all aspects of their daily work routine and provide additional support to executive team members as directed.
* Plan and orchestrate work to ensure that senior executives' priorities are met, organisational goals are achieved, and best practices are upheld.
* Manage professional scheduling for the CEO, including meetings, appointments, agendas, mail, email, phone calls, client management, and travel logistics.
* Coordinate complex scheduling and calendar management, as well as content and flow of information to senior executives.
* Maintain professionalism and strict confidentiality with all matters.
* Organise team communications and plan events, both internal and off-site.
* Provide an excellent service for CEO's visitors to create and maintain a professional impression of the Group.
* Act as a first point of contact for all incoming calls for CEO.
* Attend both internal and external meetings, take accurate minutes, and inform the CEO of any outstanding actions.
* Liaise with other staff members to collate documentation and ensure CEO is thoroughly prepared for all meetings.
* Provide ongoing excellent administrative support for business matters.
Essential skills and experience:
* Demonstrable knowledge and experience working as a PA/EA reporting directly to senior management.
* Experience of providing support to C-Suite.
* Strong organisational skills and the ability to work with a high level of accuracy whilst coordinating multiple concurrent projects.
* Proficient across all Microsoft applications, including Word, PowerPoint, and O365 applications.
* Excellent communication skills, including the ability to write well-articulated documents.
* Ability to maintain confidentiality of information and deal with sensitive issues professionally.
* Experience working in a fast-paced environment with the ability to multitask and prioritise daily workload.
* Minimum 5 GCSEs, or equivalent, graded A-B (6), including Maths and English.
Desirable skills and experience:
* Educated to degree level.
* Experience of working within financial services.
* Experience as a legal secretary, paralegal, or civil service experience would be advantageous.
