SALARY: £24,752 per annum HOURS: 37.5 hours per week, Mon to Fri with option to start at 6am or 8am LOCATION: Bristol BS2 Administration Assistant Purpose of the role: To provide efficient and effective administrative support to designated service areas, in a professional manner. Key Responsibilities: Managing outgoing post/emails and filing Compile and maintain resource administration, including local records systems and management information Production of regular ad hoc reports and support both annual/periodical audits Undertake general reception duties and welcoming visitors when required Responding to queries and complaints, escalating where necessary (email/phone/in person) Operate job allocation system Alloy, ensuring that all required response times are applied, following up queries with management as required and updating jobs with notes Raising proactive jobs through the job allocation system Alloy Raising and GRNing Purchase Orders using Sage Assisting operational staff Processing of timesheets for agency staff Other administrative duties when required Essential Requirements for the Role: Experience of working in a customer facing position Demonstrable ability to prioritise tasks, manage time effectively to ensure deadlines are met Relevant experience of maintaining and manipulating computerised/paper-based data/information Proficient IT skills with a good working knowledge of word processing (Word or equivalent) and spreadsheets (Excel or equivalent) and a willingness to learn new applications and technology as appropriate Demonstrable ability to work on own initiative, both independently and co-operatively as part of a team Demonstrable ability to file and retrieve information, both in paper and electronic formats and an understanding of the need to handle information securely and confidentially Demonstrable numeracy skills and be capable of undertaking accurate financial and other calculations Full Job Description can be provided upon request.
