Role Purpose
We are seeking a highly logical, proactive, and detail-oriented individual to coordinate and manage scheduling operations within our team. You will be responsible for coordinating resources, managing schedules, tracking project progress, and ensuring effective communication between engineers, customers, and internal teams. This role is crucial for maintaining workflow efficiency and delivering excellent service.
The ideal candidate will have strong multitasking abilities, excellent attention to detail, and the ability to work in a fast-paced environment.
Job Planning & Coordination:
* Plan, organise, and assign jobs to engineers based on availability, location, and skill set
* Manage and update schedules in real time to accommodate changes, cancellations, or urgent requests
* Coordinate resources, materials, and tasks to ensure projects stay on track
* Ensure job timelines and deadlines are met, while maximising efficiency
Communication & Customer Service:
* Act as the main point of contact between engineers, customers, and internal teams
* Keep customers informed of job appointments, schedule changes, and job progress
* Handle customer enquiries regarding job scheduling and provide timely updates
* Ensure clear and timely communication of project updates, risks, and changes
System Management & Administration:
* Maintain accurate scheduling records using job management software
* Monitor job completion status of works
* Assist with invoicing, commissioning, and documentation as required
* Ensure compliance with company procedures and industry standards
Problem-Solving & Efficiency Improvements:
* Identify scheduling conflicts or inefficiencies and implement solutions
* Optimise workforce allocation to reduce downtime and travel costs
* Support continuous improvements in scheduling processes and best practices
