About the Role: As the Events Coordinator, you’ll play a pivotal role in supporting the Events Manager in planning and executing high-impact events and tradeshows. You’ll collaborate closely with the Events and Marketing teams, along with cross-functional groups, to ensure seamless coordination and success in every event. Working with departments across MED-EL North America and our Global Headquarters in Innsbruck, Austria, you will facilitate effective communication and logistics to bring the organization’s vision to life. Your contributions will directly support the goals and growth of MED-EL North America, helping to elevate our presence at key industry gatherings Primary Responsibilities: Logistic planning, as needed, for all state/local and national meetings in North America, which includes: registration, sponsorship, booth arrangements, travel, hotel, regulatory and compliance documentation, marketing supplies, promotional materials, product demos, and on-site implementation and breakdown. Logistic planning and coordination, as needed, of special activities and events, workshops, and training courses, which includes: meeting space, catering, audio-visual, hotel, travel, and dinners, and regulatory and compliance documentation. Collaborate with Sales, Marketing, Research, Education, and other departments in relationship to meeting/events planning to assist them in achieving their goals. This may involve discussion of the Dept’s specific needs/goals, collaboration on successful meeting/event planning, providing information about specific industry trade shows and conferences to maximize successful participation for attendees, as well as comparative data concerning domestic and foreign conferences and workshops. Plan and coordinate national research meetings, as well as MED-EL sponsored research meetings (including travel, registration, and informational needs). The logistical aspects of in-house meetings, and the logistical aspects of company and department meetings. Work directly with MED-EL personnel who will be attending events to ensure proper training on professional conference protocol and etiquette. Work directly with medical/research professionals invited to MED-EL meeting to coordinate issues necessary for attendance (including travel, written agreements, center notifications/approvals, special arrangements, etc.). Maintain annual conference schedule and calendar of events to ensure proper coordination with US personnel and International MED-EL Offices. Maintain all documentation relating to US sponsored meetings and conferences, for budgetary, accounting, regulatory and customer relationship management purposes. Identify issues and work with the appropriate (US or international) personnel, third party contractors or vendors to resolve in order to ensure a successful event that achieves the company’s intended outcome. Work directly with U.S. medical institutions to ensure they are aware of situations in which MED-EL will be paying or paying travel expenses for their personnel. Work with institution to resolve any conflicts and tailor solutions that will accommodate institutional requirements (within legal/policy parameters) as necessary. (Requires high degree of discretion, negotiation of written agreements, grants and other mechanisms, as may be required). Track medical professional attendance of meetings sponsored by the company for regulatory compliance and advise US/International MED-EL offices regarding potential attendees for upcoming meetings. Advise US Departments/International MED-EL offices of what is required to invite US healthcare providers to meetings/conferences, and work with each to ensure regulatory requirements are met and necessary documentation is in place. Ensure necessary documentation is obtained for all customer travel in accordance with Federal Sunshine and State Aggregate Spend laws as it pertains to company coverage of travel expenses. Assist in maintaining regulatory compliance (and documentation evidencing such compliance) for MED-EL sponsored meetings and Industry conferences against MED-EL policy, Industry AdvaMed Code, State and Federal laws for healthcare providers. (Requires high level knowledge of policies/laws and ability to communicate this info effectively to personnel, customers and third parties involved in meetings/conferences. As well as patience and attention to detail to ensure all documentations is stored appropriately). Assist in providing documentation necessary for Accounting/Invoicing purposes as needed. Directly interface with Providers in situations in which expenses must be billed back to a Provider (for non-allowed expenses under center policy or state/federal law) and ensure resolution between Provider and the company, following up with Accounting to ensure these payments are properly applied. Follows and maintains the budget for each meeting or conference handled, while keeping in mind the departments and companies overall budget. Work with US/International teams to handle conference grant requests (involving discretion) and coordinate other grant requests as appropriate for regulatory compliance. Position Qualifications: Bachelors Degree Required 4-6 years’ experience in event management, corporate event planning, meeting planning. Healthcare Industry experience CMP certification preferred or Healthcare Meeting Compliant Certificate. Experience in using CVENT registration - preferred 20% Travel Microsoft Office (Excel, Access, Word, Outlook, PowerPoint) computer and database skills Ability to work cooperatively with other MED-EL staff, maintaining a courteous and professional demeanor Ability to interact courteously and professionally during interactions with customers or the public at large while representing MED-EL Corporation Ability to manage multiple and constantly changing priorities simultaneously Strong telephone, oral and written communication skills Strong organizational skills and attention to detail Ability to handle difficult situations with customers (medical/research professionals) with tact, diplomacy, and clarity in order to achieve the desired outcome Positive team attitude, assisting and supporting other MED-EL team members by not only identifying problems/issues but by also contributing to the solution Located within - or willing to relocate to Durham, NC What We Offer: We know that benefits are important to you, and we offer a robust benefits package including: Medical, dental, and vision coverage available, effective on the first day of the month following 30 days of active service.
