Role Summary
The Administrative Assistant & Travel Coordinator role is an individual contributor providing support to leadership and team operations. This role will flex between coordinating seamless and stress-free travel for the Toledo Mud Hens and Toledo Walleye team and providing administrative support to the leadership team.
Responsibilities
* Ensure all travel plans are efficient, cost-effective, and meet the needs of travelers.
* Book flights, buses, transportation, and hotel accommodations for away games.
* Research and compare available travel and hotel accommodations to identify the best available option.
* Prepare travel itineraries and distribute travel arrangements and schedules to the appropriate staff.
* Ensure travel arrangements are within approved travel budget limits, obtaining approval from leadership when travel exceeds approved limits.
* Provide high-level administrative support to assigned leadership staff.
* Prepare agendas and schedules for meetings. Coordinate meetings and manage meeting attendance.
* Receive incoming communication on behalf of assigned leadership staff, review contents, determine importance, and summarize and/or distribute to appropriate staff.
* Perform clerical and administrative tasks including drafting letters/emails, reports, and other documents as requested.
* Other duties as assigned.
Qualifications and Experience
* High school diploma required.
* Three plus years of administrative support experience.
Skills and Competencies
* Ability to execute several tasks at the same time and work well under pressure.
* Extremely organized with great attention to detail.
* Impeccable communication skills, both written and verbal, with the ability to communicate effectively with all levels of the organization.
* Ability to prioritize tasks and to delegate them when appropriate.
* Ability to act with integrity, professionalism, and confidentiality.
* Ability to work independently.
* Proficient in Microsoft Office Suite.
* Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
* Prolonged periods of sitting at a desk and working on a computer.
* Frequently operates a computer and other office productivity equipment when working in the office.
* Frequently communicates with team members. Must be able to exchange accurate information.
