Reception Responsibilities Open the office in the morning, ensuring the reception area is ready for each working day. Register patients according to surgery protocol, ensuring all forms are completed and information is entered into the computer. Answer patient enquiries, refer to a nurse or doctor when appropriate, and handle phone calls promptly. Manage appointments on the computer system. Involvement in Recall System Maintain the recall system for patients with chronic conditions, ensuring they are booked for annual reviews. Handle paper medical records and assist with filing, scanning, and assigning medical information to computer records. Preparation of Repeat Prescriptions Prepare both paper and EPS prescriptions. Assist with staff cover during absences. Handle urine/specimen samples and complete various medical forms. Waiting Room Management Keep the waiting room tidy and clear of clutter. Communicate with health authorities, hospitals, consultants, and interpreting services as needed. Compliance and Safety Comply with practice policies, fire regulations, and health & safety procedures. Maintain confidentiality regarding patients' care and treatment. Organize and maintain office stationery for reception activities. Patient Interaction Inform patients if the doctor is running late, apologize for the inconvenience, and reschedule appointments as necessary. Collect fees for services and provide receipts. Building Security Secure the building and appliances at the end of the working day. Management of Appointment System Maintain knowledge of the computer system and manage daily and urgent appointments. Management of Medical Records Maintain and repair Lloyd George folders, ensuring they match computer records. Handle clinical information flow and maintain alphabetical order. Print and photocopy records as required. Confidentiality of Patient Information Maintain patient privacy and dignity, assuring confidentiality. Assist patients with appointment inquiries and provide informational materials as needed.
