Position IWS Group is looking to recruit a Quotation Specialist to drive sales by generating and converting current and new customer quotations in its growing subsidiary, Beaverswood. The Quotation Specialist will be responsible for liaising with customers to identify solutions to their product requirements. The Quotation Specialist will prepare and provide quotations to customers in a timely manner, utilising sales and product knowledge to convert quotes into sales orders. The Quotation Specialist will qualify opportunities and update records in the CRM system, liaising with the wider sales teams on these opportunities. Interpreting and analysing sales data, the Quotation Specialist will convert customer specifications and requests into the internal spreadsheet data process. The QS will be responsible for updating customer price lists as and when required. This role involves working with the wider Beaverswood team to include Sales, Marketing, Finance, Production, and the Warehouse team. Responsibilities: Create and deliver accurate and timely quotations for customers, ensuring all information is complete. Interact with suppliers to obtain pricing for special order items. Review request for quotes and ensure all necessary information is provided by the customers. Use specific mediums to contact customers, to include the telephone system, email and media outlets. Work with the External Sales team to effectively manage all customer quotation requests. Provide accurate and up to date pricing information for all products and services when requested. Deliver exceptional customer service and respond promptly to all customer inquiries and concerns. Contribute to the development of new processes and procedures to improve efficiency and effectiveness in the quoting process. Analyse and interpret customer data, ready for the calculation sales spreadsheet enabling quotation. Monitor and analyse data to produce regular updates and report on progress of SLA’s and KPI’s. Support the wider sales team, including order processing and cross cover during absences. Update the customer sales price as and when required. Attend team meetings to review department KPI’s. Maintain commercial awareness of our key markets, competitor products, pricing and service offerings, and review regularly with key stakeholders with a view to ensuring our offer/range meets our clients’ demands. Represent IWS group companies within the marketplace where required by management. Fluctuating and short lead times for quotations. Success Management: Build and maintain effective customer working relationships. Weekly/monthly reporting on quote volume and conversion rates. Meet or exceed customer’s expectations on delivery of information/quotations. Maintenance of auditable documentation trails. Engagement with Sales team to ensure timely completion of quotations and responses to customers. Demonstration of continuous improvement. Requirements Skills, Knowledge & Experience Essential Significant experience in customer account management, ideally in a B2B environment. Technologically astute Experience with CRM and ERP systems. Demonstrable experience in customer services or quoting role Problem solver with great initiative Good head for numbers Excellent knowledge of Microsoft Excel. Good written and verbal communication skills Proficient in Excel and Word Able to prioritise, develop work schedule, and influence others to achieve results. Knowledge of the industry would be beneficial. Knowledge of the reseller / dealer channel model is advantageous. Aptitudes/Attributes: Self-motivated, resourceful and results orientated. An eye for detail and ability to visualise the customer journey while identifying opportunities to improve the customer’s experience. Ability to identify up sell and cross sell opportunities.
