Nustaff Recruitment has been instructed by a world leading business to recruit an Executive Assistant to the CEO. Acting as the eyes and ears of the CEO and wider Executive Team, being one-step ahead and demonstrating fantastic interpersonal and organisational skills. With an ever-changing diary and workload, the role will require the post holder to have exceptional communication and decision-making capabilities.
Hours: Monday - Thursday 8am - 4pm, Friday 8am - 1pm. This role is fully office based. Given the seniority you will support, there may need to be a little flexibility from time to time and there is occasional UK and International Travel.
Salary: Up to £21.53 per hour
Key Responsibilities and Duties
* Coordinate complex scheduling and extensive calendar management and all associated arrangements to ensure the smooth running of scheduled and to optimum effectiveness of the CEO's time, to include agenda, briefing materials, packs, travel and refreshments.
* Monitor and prioritise incoming mail/emails/calls on a daily basis, dealing, responding and redirecting as appropriate.
* Prepare, including design where appropriate, and produce presentations, correspondence and reports/background research as required.
* Prepare meeting material as well as attend meetings to take the minutes/actions when required and follow up prior to the next meeting.
* Maintain control of CEO budget, process invoices and monthly expense claims for the CEO and their direct reports, ensuring adherence to the expenses policy at all times.
* Meet and greet visitors and arrange catering as required.
* Plan and arrange complex travel, including booking flights, taxis, and hotels for the Executive Team and for others across the business as required.
* Prepare and present the monthly Business Performance Pack, ensuring all data is provided and the presentation is prepared.
* Support the communication teams with organising events, including SSGB roadshows and leadership conferences.
* Maintain Executive team electronic folders.
* Provide strong support in the administration of the executive internal control environment (assuring compliance with ICE/DACI requirements, which includes 'manage the company' processes and procedures).
