For this job role you are required to have an in date Enhanced Child DBS and have previous experience working within a school setting. Main Purpose: To provide general administration support to the HR Team General Duties: Process the recruitment of staff - upload of relevant documents/vacancies on jobs boards such as; TES, WM Jobs, DFE Teacher Vacancies and Indeed. Liaise with schools regarding interview packs, shortlisting, selection processes and references. Assist with the development of central resources for Job Descriptions/Person Specifications. Typing of letters such as invite to interview, offers of appointment, contract changes, leaver letters etc as directed by HR senior team members. Process DBS checks for all new starters ensuring all documentation is completed in line with the safer recruitment process Set up new employees on the payroll system, Invictus MIS etc and action necessary paperwork to ensure employees records are uploaded to Vera within specific payroll deadline dates. Maintain staff personnel records. Ensuring staff files re up to date and all relevant information scanned and saved to personal files. Responsible for maintaining and securely storing confidential staff files and training records in line with GDPR. To provide team support with the Trust's/School's Single Central Record in relation to accurate data and support with monitoring and compliance. To assist with the development and implementation of new or reviewed policies, this will include research, typing, circulation/publication of policies, upload of policies for approval. Support with manpower analysis and submissions/returns to National Office of Statistics, DfE, ESFA such as monthly/annual wage analysis, Employment Surveys, Gender Analysis, EOY Audit reports etc. Provide admin support for staff training and induction programs as determined by the HR Team Support the HR Team with the management of staff sickness absence, particularly those on long term absence in line with the Trust's Sickness Absence Management Policy, producing standard letters, data, report's as required. Assist the HR Team with preparing referrals to Occupational Health Service for staff on long term absence. Preparing basic information for OH referrals and medical consent.- Support HRSO's with administering leave such as maternity and paternity leave, and data entry onto Vera. Assist with monthly payroll transactions under the direction of the HR Team, including new starters, contract change. Liaise with payroll provider on all payroll matters. Support and participate in data cleansing exercises under direction by the HR Team. Update and review databases, record information and produce data analysis where required. Responsible for monitoring and maintaining the HR trackers, to include; recruitment, new starters, contract amendments, leavers, maternity and paternity, over and underpayments and payroll queries. Responsibility for the admin of the team's email inboxes, such as HR and Payroll. Responsible for file management and allocation to team members to action. Responsible for organising and sending the Trust wide vacancy email each Friday to all staff. Any reasonable task as directed by the HR Director. Any tasks which is appropriate to the post level in order to maintain/enhance organisational effectiveness which may include redeployment to other departments to include cover for absent colleagues.
