Overview At Zaha Hadid Architects, we are seeking a Junior Project Coordinator on a 12 Month Fixed Term Contract to join our growing team in London. In this role you will responsible for providing administrative services and support for a Masterplanning Project. Main responsibilities Cluster Project Support Support with monthly reporting and related documents. Document control, including naming of deliverables and maintaining letter trackers. Archiving files received from the client and consultants, and ensuring they are readily accessible to the team. Maintain the project folder structure on the local server and project SharePoint. Assist the team with formatting documents as needed. Other Areas of Responsibility and Administrative Support Provide ad hoc administrative and coordination support to the project leaders. Attend meetings where necessary, developing an awareness of key participants and topics of the Masterplanning project. Schedule meetings and conference calls, including sending invitations. Assist in preparing meeting documents and collecting meeting agendas as required. Format minutes of meetings and attendance lists. Maintain an archive of meeting recordings, including downloading and editing videos as necessary and saving them on the internal server and project SharePoint. Support project leaders in liaising with clients and consultants. Liaise with accounts and other departments on behalf of the project leaders. Assist with invoices, invoice tracking and related documentation. Assist with documentation related to project submissions. Coordinate with Reception for meeting room bookings, post and couriers. Coordination with Cluster Administration Team regarding project-related travel and bookings Skills Required Excellent communication skills both orally and in writing Excellent inter-personal skills Good IT skills (Word, Excel, PowerPoint, Outlook) Ability to prioritise and plan effectively Highly organised, especially when dealing with a constantly changing environment Diplomacy, professionalism and tact for a wide variety of situations and personalities Adequate experience as a junior Project Coordinator or equivalent role About us Zaha Hadid Architects (ZHA) redefined architecture for the 21st century with a repertoire of projects that have captured imaginations across the globe.
