About the role
Responsible for providing administrative assistance and support to the Sales & Events team ensuring that all tasks are completed in a timely and accurate manner and in keeping with Marriott brand standards.
Critical responsibilities:
* Perform general office duties to support Sales & Events (e.g., filing, sending emails, typing, faxing, copying).
* Prepare sales and events related documents throughout the sales process (e.g., proposals, contracts, or banquet event orders).
* Overall office duties including communication, printing, scanning and liaison with Sales, Marketing and Events Dept.
* Promote awareness of brand image internally and externally.
* Gather materials and assemble information packages (e.g., brochures, promotional materials). Use sales techniques that maximize revenue while maintaining existing guest loyalty to Marriott.
* Process purchase orders and invoicing.
* Enter, retrieve, reconcile, and verify information (e.g., commissions, leads, third parties) in software involved in the sales process.
* Answer guest questions about property facilities/services (e.g., hours of operation, rates and room types, packages, promotions, entertainment, restaurants, special events).
* Answer telephone in absence of sales & marketing associates.
* Serve as the point of contact for clients and communicate with them by phone and email to respond to questions and requests.
* General duties such as keeping office tidy, daily mail distribution & stationary orders.
* Generate and upload group signage for events in house.
* Create and print menus and food labels as required for Events team.
* General client data entry in conjunction with the sales and event teams.
* Prepare complimentary forms and VIP arrival card/amenities.
Successful Candidates will have:
* Previous experience with Opera is desirable.
* Solid knowledge of Word, Excel and Outlook.
* Office skills, confident and professional phone manner.
* Efficient with time management and able to actively listen.
* Able to confidently perform any administrative tasks.
* Strong communication, problem solving and adaptability skills.
* Positive response to guest questions, requests and office tasks including vouchers and purchase orders.
