Job Description:
Denholm Industrial Services is seeking a highly organised and detail oriented Administrative Assistant to join our team on a temporary-to-permanent basis. This role is crucial in supporting the smooth operation of our office, with a particular focus on data management, timekeeping, and financial administration. Key Responsibilities:
* Basic Administrative Support: Provide day-to-day administrative assistance to the team, ensuring all office operations run smoothly.
* Data Entry: Accurately input data into our work control system and maintain up-to-date records.
* Timekeeping: Track employee hours, manage timesheets, and ensure timely submission and accuracy.
* Timesheets and Invoicing: Handle the preparation and processing of timesheets and invoices, ensuring all documentation is complete and accurate.
* Agency Cost Management: Monitor and report on agency costs, ensuring proper allocation and recording.
* Work Control System Management: Input and maintain data within our work control system to ensure efficient tracking and reporting of projects.
* Credit Checking: Conduct credit checks on clients and suppliers as required.
* Purchase Orders (PO): Manage the creation, processing, and tracking of purchase orders.
* Stationery Ordering: Monitor office supply levels and order stationery and other materials as needed.
* Adherence to Deadlines: Manage tasks effectively under pressure, ensuring all work is completed within specified deadlines.
Requirements:
* Experience: Previous experience in an administrative role, preferably within an industrial or similar environment.
* Skills: Proficient in data entry, invoicing, timekeeping, and use of work control systems.
* Attention to Detail: Strong attention to detail and accuracy in all tasks.
* Microsoft Office: Ability to use Excel & Word
* Time Management: Ability to prioritize and manage multiple tasks effectively.
* Communication: Excellent verbal and written communication skills.
* Team Player: Able to work independently and collaboratively within a team.
Additional Information:
* This role is a permanent position, with interviews commencing ASAP for a mid-September start.
