Purpose of the role As demand for our SOFC and SOEC technology grows, we are seeking a Commercial coordinator to join our team. In this role, you will interface with customers, managing requests, preparing quotes, processing orders, coordinating shipments, and ensuring accurate invoicing. You will also support customer visits, working with cross-functional teams, and handling administrative tasks to ensure smooth operations within the commercial department. Key Accountabilities: Maintenance of visit, event and holiday calendars – weekly sharing of this to the team to inform activities and locations of team members. Providing calendar insights to the wider team to inform visit planning. Support with arranging external visits to Ceres; legal preparation (NDA and any other related paperwork), executive onboarding and briefing, room bookings, taxi scheduling, Horsham and Redhill administration for site tours - liaison with key stakeholders to arrange, lunches and dinners, liaison with reception manager to ensure coverage of hotel booking, and generation of planning documents to consolidate all planning and logistics and generation of welcome/information slide decks, parking reservations for Horsham site. Assistance with generating decks for meetings, visits, events etc – sourcing of standard intro slides, sharing of resources, assistance with uniformity, IP/document marking procedures and proofreading/editing. Providing a one-stop shop support service to our overseas commercial colleagues who may be travelling with these customers. Tracking of purchase demand requests/POs and recording of these/ensuring invoices are paid on time. Assistance with budget setting activities, spend tracking for events/visits and ensuring cost effective decision making. Support with travel plans and bookings for group travel, events/conferences and visits. Business Development Pipeline administration and monthly reporting for executive team and Board. Build sustainable relationships and trust with customer accounts though open and interactive communication. For material/stack supply – raising quotations, sales orders, packing slips and arranging customer shipments and invoicing, ensuring accuracy of pricing. Liaise with Logistics to ensure customer shipping requirements and packaging specifications are met. Liaise with Trade Compliance/Logistics specialist weekly to ensure alignment and prioritisation of activities. Provide customers with a direct point of contact for material scheduling and any Product Management Requests that may be open.
