About the Role:
As the Senior Facilities Manager, you’ll take the reins in overseeing the day-to-day facilities management of a predominantly commercial portfolio, ensuring efficient operations and tenant satisfaction. Reporting to the Head of Asset Management and Accounts, you’ll be responsible for managing service charge budgets, compliance with regulatory standards, and ensuring the smooth functioning of building systems across multiple properties.
Key Responsibilities:
Property & Facilities Management:
* Oversee the maintenance, repair, and improvements of both commercial and residential buildings.
* Manage service contracts, ensuring top-tier performance and compliance.
* Develop and implement preventive maintenance programs to ensure properties are always in prime condition.
Financial & Budgetary Management:
* Work alongside the Asset Management Team and Head of Accounts to prepare and manage service charge budgets.
* Monitor costs and identify opportunities for cost savings and efficiencies, while maintaining high service standards.
* Conduct bi-monthly reviews of actual vs. budget and approve contractor invoices and payments.
Vendor & Contractor Management:
* Lead the selection and management of service contracts for M&E, lifts, cleaning, security, landscaping, and more.
* Negotiate and ensure contractors adhere to agreed service levels and compliance standards.
* Conduct performance reviews and monitor KPIs to drive operational excellence.
Tenant & Stakeholder Relations:
* Be the go-to contact for tenant inquiries regarding facilities management, ensuring timely and professional resolution of maintenance requests.
* Collaborate with the helpdesk team to maintain a high level of tenant satisfaction.
Compliance & Risk Management:
* Ensure compliance with health, safety, and environmental regulations.
* Maintain accurate records of inspections, certifications, and safety procedures.
* Develop and implement emergency response plans to safeguard properties.
Sustainability & Energy Efficiency:
* Implement sustainability initiatives to reduce energy and water consumption across properties.
* Monitor energy usage and recommend ways to improve efficiency.
* Stay ahead of industry trends to promote sustainable facilities management practices.
What Our Client is Looking For:
* Education & Experience: A degree in Facilities Management, Engineering, Real Estate, or a related field. Extensive experience managing both commercial and residential properties, including strong knowledge of building systems (HVAC, plumbing, electrical, fire safety).
* Skills & Competencies: Proven leadership, strong organisational abilities, and project management skills. Ability to communicate effectively, both written and verbally with internal teams, tenants, and contractors.
* Professional Certification: IWFM or similar qualifications are preferred but not essential.
* Additional Requirements: A valid UK driver’s license and flexibility to travel between properties when needed.
