Summary and Overview Executive Assistant Inverness Scotland, Isle of Man or Jersey Permanent Full Time Competitive Salary & Benefits You'll provide a high quality executive service to our Chief Finance Officer and other Executive Committee members by delivering effective administrative support within a number of areas, including diary management, facilitation of meetings, communication with direct reports, co-ordination of work and preparation and sense-check of reports and content received. Your New Role This list of duties is not exhaustive and may change from time to time according to business needs: Act as a point of contact in assisting the CFO & CRO in a broad variety of administrative tasks to include calendar management, coordinating meeting schedules to minimise resource conflicts, confirming appointments and rescheduling as necessary Support the wider Finance Team by preparing and collating various meeting materials, attend as required to minute and note actions and track these through to completion Be a primary contact between the CFO and their direct reports for matters relating to the organisation and deliverables Help track Finance Team reporting deadlines and act as a gatekeeper for audit requests, arranging and attending meetings with the Auditors Coordinate internal and external meetings, including booking rooms, setting up Teams calls, collating and sending out agendas and reports in line with the timetable set Co-ordinate and book, often complex, international and domestic travel to include detailed itineraries, visas, transport, accommodation, biographies etc Effectively handle highly confidential and commercially sensitive correspondence and communications Process and monitor the payment of Finance and Legal invoices Maintain and update content on the Finance Intranet and SharePoint sites Support the other Executive Assistant based in Jersey, and those located in other jurisdictions from time to time, in their support of the Executive Committee and senior management team Ensure compliance with company standards, policies and procedures What will you need to succeed in this role? As to be expected, we are searching for someone who can bring a range of skills and experiences to enhance the team. As such, there are a few essential skills we are looking for: Significant experience as a Personal Assistant or Executive Assistant to senior management and above Highest standards, enthusiasm, excellent communication skills and a proactive approach with the confidence to act independently Strong organisational skills, ideally gained from experience in a complex role and/or global organisations Approachable, committed, confidential as well as being polite, diplomatic but firm when necessary Comfortable with managing multiple priorities and conflicting demands Excellent networking skills enabling you to quickly build relationships globally Proficient in Word, Excel, PowerPoint, Outlook and other office equipment Experience supporting Executive Committee or equivalent (desirable) Analytical and numerically minded (desirable) Knowledge of Vendor Management and Purchase to Pay processes (desirable) Personal attributes which would be seen in the ideal applicant include; Outstanding work ethic, possess high level of integrity; maintain absolute confidentiality.
