About the role:
Virgin Hotels London Shoreditch is seeking a full-time, permanent People Coordinator to support the smooth operation of our small but dynamic People team. This role offers exposure to all aspects of HR, making it a fantastic opportunity for someone with some experience who is eager to expand their generalist knowledge.

We want someone who thinks outside the box and is ready to help make the people function a success. Managing paperwork and having strong organisational skills are the core of this role, having a key eye for detail and being ready to hit the ground running.
The position reports directly to the Assistant People Manager and works closely with the Regional Director of People to support company standards and best people practice.

The Nitty-Gritty:
Key tasks and responsibilities
People Team Administration
1. Preparing letters, including annual increases and bonus letters.
2. Compiling the People Team communications.
3. Maintain accurate and current records of all personnel-related data, both on paper and within the HR System/People drive.
4. To maintain an up-to-date knowledge of Virgin Hotels HR processes and procedures and to assist the Assistant People Manager with HR and ER issues as required.
5. Minute take in team meetings.
6. Note take in cases such as disciplinary, grievance and appeal meetings.
7. Understand all Virgin Hotels people policies and support the People team in updating and maintaining them.
8. Assist in ad-hoc projects.
9. Support other People team functions as assigned.
Employee Engagement and Welfare
1. Issuing and creation of content for the staff intranet.
2. Coordinating hotel social activities with the People team.
3. To coordinate and assist in the organisation of teammate events.
4. Create the People engagement calendars, working with the Assistant People Manager and be jointly responsible for the activities and initiatives carried out.
5. Working together with the Assistant People Manager, create the wellbeing initiatives to celebrate Wellbeing events during the year.
Employee Benefits
1. Remain up to date on Virgin Hotels benefits and benefit changes in line with the new benefit year to support and advise teammates on their benefit entitlement.
2. Support Assistant People Manager with annual benefit enrolment.
3. Admin of all employee benefits.
Reporting and Auditing
1. Keep accurate and current records of employee start dates and inform HOD’s when employee P&D reviews are due to take place. Follow up with the HOD’s to ensure this is happening.
2. Responsible for keeping current records of organisational charts.
3. Every 12 months complete a personnel file audit of employees to review with the Assistant People Manager.
4. Produce and submit reports on general HR activity as and when required.
Recruitment and Onboarding
1. Support the recruitment process by assisting the Assistant People Manager and HOD’s with sourcing candidates, perform reference checks and assist with shortlisting.
2. Assist the people team with the smooth onboarding and induction of new starters.
3. Create and circulate the internal vacancy list.
4. Adding employees to the People Systems.
5. Enrolling employees onto the clocking System.
6. Administration of employee lockers & employee passes.
What qualities are we looking for?
1. Administration is your passion; you have an eye for detail and love getting things done!
2. Strong IT skills and use of all Microsoft packages.
3. Experience with People Systems would be fabulous.
4. Previous hospitality experience in your skillset is an advantage.
5. Ability to convey information and ideas clearly.

7. Ability to multitask and meet deadlines.
8. Demonstrates discretion, practices a high level of confidentiality.

Background must-have:
1. Current, legal and unrestricted ability to work in the UK.
2. Hospitality or Human Resources degree preferred.
3. Minimum of 1 year of previous experience in HR or related capacity.
4. Ability to work full time onsite in the hotel.
5. Demonstrates discretion and practices a high level of confidentiality.
