Our client are a well established fine art shipper based in Colnbrook and have an exciting new opportunity for a enthusiastic Trainee Operations Assistant to join their established Gallery Services team and work within this fast-paced environment. This is a great opportunity for someone looking to expand on their career in the Art/Logistics industry. Working on a weekly rotating shift pattern of 08:00-17:00 and 09:00-18:00 Monday to Friday, with a one hour break each day. Although, full flexibility is required as additional or alternate working days/hours may be required to accommodate client needs. The role of Trainee Operations Assistant involves, but is not limited to, the following responsibilities: Performing general office tasks, such as photocopying, filing, data entry & invoicing. Answering incoming telephone calls and take detailed, accurate messages as necessary. Assisting with responding to email correspondence, as required. Supporting the Operations team as necessary (such as communicating delivery instructions, ensuring files are kept updated, monitor collection & delivery notes). Ensuring collection and delivery notes, commercial invoices and outgoing items and shipments are prepared. Ensuring job files are completed from start to finish, including quoting, costing & on-time invoicing. Ensuring cash collection from clients without credit accounts is arranged. Ensuring storage records are updated daily, quotes are prepared accurately and in a timely manner and achieving specified profitability/profit margin on each job file. Completing and arranging T-Forms for trucks and customs entries. Helping to organise weekly European truck schedule. The knowledge, skills and experience required from our Trainee Operations Assistant in Gallery Services Team are: Essential Good knowledge of the English language, both verbal and written. Good numeracy skills. Ability to prioritise and organise own workload to tight deadlines. Good attention to detail. Strong problem solving skills. Strong communication skills; the ability to communicate effectively at all levels. Be a team player across all departments. Good level of initiative to work without constant supervision. Sound knowledge of Microsoft Office; including Outlook, Word, Excel and Teams. Desirable Experience in field of shipping and logistics. IT skills - In house systems. Knowledge of Import/Export procedures.
