Finance Assistant - 25 hours per week Salary: £18,200 per annum Wellingborough, Northamptonshire We are a local Charity passionate about supporting disadvantaged people in our community and supporting those impacted by homelessness, poverty and social exclusion. We have an exciting opportunity for a Finance Assistant to join our team. This is a newly created position. The Finance Assistant will play a critical role in ensuring the financial stability of the organisation by maintaining accurate financial records, managing funds efficiently, and assisting in budget preparation. This role directly contributes to sustaining the essential services we provide and requires diligence, integrity, and a strong attention to detail, with proficiency in Sage accounting software being essential. This is a part-time position - 20 hours per week, offering flexible hours and the opportunity to perform an integral role within an evolving charity. KEY RESPONSIBILITIES Financial Record Keeping Maintaining accurate financial records, including: accounts payable, accounts receivable, general ledger entries and bank reconciliations. Processing weekly banking of shop takings, donations, and other fundraising proceeds. Invoice Processing Preparing and processing monthly invoices through Sage for room hire and other services. Managing receipts against invoices and payment terms. Following up on overdue payments, resolving discrepancies and maintaining effective communication with suppliers and contractors. Expense Management Monitoring and reconciling business expenses, including credit card reconciliations. Ensuring timely processing of authorised expenses. Managing petty cash funds by recording transactions, reconciling balances, and ensuring adherence to internal controls. Conducting cost analysis to improve financial efficiency. Financial Reporting Providing data to support financial statements, reports, and budget preparation. Maintaining accurate, up to date records of spends against restricted funds. Managing Gift Aid by verifying declarations, reconciling records, and submitting claims to HMRC. Preparing ad hoc financial reports or analysis to support management decision making beyond the regular reporting cycles. Management Accounts Generating quarterly management accounts through Sage for CEO and Trustees. Preparing debtor and creditor schedules for year-end statutory accounts. Providing required accounts data for the preparation of end of year statutory accounts. Budgeting & Forecasting Supporting the CEO with budget preparation, forecasting, and variance analysis. Reviewing utility contracts to ensure competitive supply agreements. Communication & Collaboration Collaborating closely with colleagues to ensure smooth financial operations.
